Summary:
This position primarily coordinates the stewardship activities of the Office of Foundation Relations (OFR), a fundraising unit focused on developing partnerships with and securing grant support from philanthropic foundations to advance university priorities. Foundation stewardship includes coordinating acknowledgements upon receipt of new grants via thank you letters and public announcements, and communicating grant impact via written reports, publications, and other means of recognition. Donor (foundation) impact reports are a key element of this fundraising strategy, in that they communicate to key donors the university's appreciation for and use of funds received.
This position will also serve as a liaison with the Marketing & Communications team to help develop OFR's internal communications strategy, raising awareness of the services and resources OFR provides to the campus community including leadership, faculty, staff, and fundraising colleagues.
This position reports to the Senior Director for Stewardship.
The Marketing, Communications & Stewardship is a division within Duke University Alumni Engagement & Development (AED).
Job Responsibilities
Foundation Stewardship and Impact Reporting
  • Serve as liaison between AED's Marketing, Communications, and Stewardship office (MCS) and the Office of Foundation Relations (OFR).
  • Coordinate, produce, and assist with OFR impact reporting materials and activities including collaborative impact reporting for key foundations including annual reports for The Duke Endowment and Bill & Melinda Gates Foundation, and reports for other foundations as needed.
  • Project lead for The Duke Endowment buildings and endowments impact report, an annual digital publication highlighting the Endowment's relationship with and philanthropic support of Duke. With OFR and MCS colleagues, determine content; manage contractors writing and designing product; review, edit, and/or write narrative sections; select photography, proof entire report; work with areas across campus to obtain accurate reporting regarding awards including MCS and academic departments and areas; and oversee production and distribution of report.
  • Parter with OFR AVP and colleagues on annual expendable grant reporting to The Duke Endowment including project management and review of draft reports (25 reports per year).
  • As needed, collaborate with MCS on other electronic or print stewardship reports for key foundations to provide multi-year reviews and creative reports that show impact of gifts.
  • Manage or assist with other reporting activities for major funders as requested by and in partnership with OFR.
  • Coordinate acknowledgment correspondence (thank you letters) for the president and provost regarding foundation awards and coordinate with their respective offices.
  • Gather information and draft reports and responses to foundation inquiries.
  • Lead annual review of stewardship activities and products.
Internal Communication Program
  • Manage projects to create communications that increase faculty and staff knowledge of foundation funding opportunities and the services and resources provided by OFR.
  • Help develop departmental marketing collateral to share across campus, including print material, email outreach, and presentation slides.
  • With MCS and OFR team, see that updates are managed for the OFR website.
  • With the MCS Social Media Specialist, explore social media strategy/activity.
  • With MCS and OFR colleagues, support development of press releases and public gift/grant announcements.
  • Lead annual review of OFR communications activities and products.
Skills
Required:

Experience with or willingness to learn Adobe Acrobat, MS Teams, and Asana (or project management platforms)

Preferred Experience:
2 years of experience in communications, donor relations, fundraising, or a related field.
