Description

The current vacancy is a 40hr/week 10.5 month position at Del Norte High School
BASIC FUNCTION:
Under the direction of a Principal or Assistant Principal, provide administrative assistance, and clerical and technical support as a staff team member performing a variety of independent secretarial and clerical functions.
DISTINGUISHING CHARACTERISTICS:
The School Administrative Specialist I serves as a clerical and technical support staff team member performing counseling, attendance, scheduling, and clerical support duties as dictated by school necessity. The School Administrative Specialist II serves as secretary to the principal of a comprehensive high school and coordinates the work direction of a technical support staff team in all school office function areas.
Examples of Duties
REPRESENTATIVE DUTIES:
Serve as a technical support staff team member performing counseling, attendance, scheduling, and clerical support duties as dictated by school necessity. E

Perform technology-related projects, scheduling meetings, follow-up and general project completion. E

Develop, implement, and maintain a District and school level database for collecting, organizing, analyzing, and reporting disaggregated student testing results required by local, state and federal programs. E

Research, collect, compile and edit statistical, financial or other diverse and specialized reports and other documents, utilizing department computer hardware and software systems. E

Maintain electronic files of department documents, budget information and statistical reports using a networked computer system, utilizing a variety of software applications. E

Develop and/or evaluate tools to align standards, assessment, curriculum and instruction. E

Serve as a technical resource to other employees and District departments using student information, student assessment, and data reporting systems. E

Prepare, maintain and account for attendance records and reports; communicate with staff, students, parents and others concerning student attendance; assure that District and State-mandated guidelines are met. E
Analyze a variety of data and process according to established procedures; prepare and maintain records and reports regarding tardiness, truancy, suspension, and discipline. E

Participate in various attendance-related tasks as defined by the position; communicate with students, parents, faculty, administrators and authorities regarding attendance, discipline, truancy and suspension; contact parents by phone and prepare correspondence concerning student absences. E

Refer serious attendance problems to appropriate personnel according to established procedures; assist in identifying and resolving problems of students with frequent absenteeism. E

Participate in various scheduling tasks as defined by the position; perform a variety of network support duties related to the school master schedule and student scheduling, registration and grade reporting. E

Prepare semester pre-registration materials for high school grade levels including new and incoming students, prepare course selection materials, schedules and forms for students. E

Provide and receive information related to master schedules, course codes and other changes as required. E

Perform daily operations of a high school career center; collect organize, maintain, and disseminates resource materials and information on topics such as employment opportunities and trends, careers, technical schools, colleges, universities and scholarships. E

Train, supervise, evaluate and provide work direction to student assistants. E

Register, enroll, and schedule new students and perform related duties. E

Perform clerical duties related to assigned activities; type from notes, rough draft or verbal instructions a variety of written materials including correspondence, bulletins, memoranda, calendars, requisitions, records, reports and evaluations. E

Perform related duties as assigned.

Minimum Qualifications

EDUCATION AND EXPERIENCE:
A typical qualifying background would be two years of college-level course work in computer technology and two or more years of experience in a highly computerized technical office environment. (Highly computerized technical office environment would be one in which work is done electronically to collect, manage, manipulate, analyze and distribute data in an office where the use of paper is eliminated or greatly reduced.) School district experience is desirable.
(*) SELF-CERTIFICATION OF TYPING/KEYBOARDING SKILLS:
This classification requires that incumbents be skilled in typing/keyboarding at a minimum of 45 words per minute. A typing test will not be given. Applicants must certify in writing that they have such skills. Demonstrated proficiency will be expected during the probationary period for the class.

Personal computer-based applications such as word processors, databases, spreadsheets, calendaring and electronic mail programs.
Networked computer systems.
Database and spreadsheet applications, documents, graphs, charts and statistical reports.
Current office computer, peripheral and network hardware configurations.
Modern technical office equipment including scanners, digitizers, laser and color printers and modems.
Letter and report preparation techniques.
Receptionist and telephone techniques.
Correct English usage, grammar, spelling, punctuation and vocabulary. ABILITY TO: Operate a computer terminal to enter data, maintain records and generate reports.
Review and verify data input and output data to assure accuracy and efficiency.
Use computer graphics for output in reports and documents.
Work as a flexible team member recognizing areas of need within a comprehensive office environment.
Train and provide work direction to others.
Compose and proofread complex technical and statistical documentation, including the use of computer authoring tools.
Communicate professionally and interface with students, staff, and the public.
Train and support other staff members in the use of software and technology packages.
Organize, maintain and accomplish multiple tasks/projects with frequent interruptions.
Understand and explain vocational and career guidance materials.
Apply bookkeeping and financial record-keeping practices to the maintenance of assigned accounting records.
