Front Desk Coordinator/Receptionist - Physical Therapy

Job Description
* Greet and ensure patients feel welcome at our clinic.
* Interact with patients and visitors in a professional, courteous manner.
* Ensure that all patient demographics and financial information are up to date.
* Instruct/assist patients on completion of intake forms.
* Distribute Notice of Privacy Practices & obtain signed Privacy Acknowledgement.
* Facilitates patient flow by notifying the provider of patients' arrival, being aware of delays, and communicating with patients and clinical staff.
* Input patient demographic information into EMR.
* Maintain patient charts in EMR.
* File/Scan all incoming documentation into patient's chart in EMR.
* Maintain supply of required paperwork.

Patient Service Functions
* Complete control of all incoming calls plus confirmation calls and message distribution.
* Receive & document referrals.
* Scheduling - New Patient (NP) and Re-visits (RV) by filling open slots in schedule to ensure patients are meeting prescribed frequencies by cluster booking.
* Resolve patient schedule conflicts.
* Inform therapists of schedule changes.
* Maintain patient waiting list to utilize openings in schedule.
* Answer or redirect general billing or service questions/complaints.
* Schedule appointments for the owner or other staff members.
* Sort and distribute vendor information.
* Route questions to appropriate staff member(s).
* Type correspondence and clinical reports.
* Process requests for records per authorization and privacy guidelines.
* Accept, document and complete "Request for Records".
* Assist with the audit and reconciliation of third party or patient payments.
* Modify patient demographic or claim information if errors are identified.
* Refile claims or statements.
* Document and refer patient billing account problems to Business Administrator
* Comply with all local, state and federal regulations training and instruction requirements as well as any other standards that govern healthcare services provision.
* Perform other duties as requested.
Position Requirements
* Attention to detail--mathematical and data processing.
* Data processing proficiency-Practice Management Software, Microsoft Word.
* Communication skills-written, verbal and general interactive.
* Organizational skills- ability to multi-task, prioritize tasks, file maintenance & report generation.
Education:
* High school or equivalent skills & aptitude
* Basic computer courses or equivalent preparation
EXPERIENCE:
* Medical or business office front desk management desirable, but not required.
* Insurance industry claims processing/management desirable, but not required.
PHYSICAL DEMAND CAPACITY:
Consistent with published industry PDC norms or minimally:
* Sitting - routinely for 1-2 hours uninterrupted.
* Lifting - occasionally light loads (5-10 pounds).
* Bending & reaching - routinely for office duties.
* Walking - routinely to access other personnel.
* Viewing monitor screen/using keyboard - routinely >1 hour duration.
EXPOSURE DETERMINATION:
* Has the potential for Hazardous Substance Exposure due to work duties.
* Has no potential for Bloodborne Pathogen Exposure due to work duties.
