OUR REAL ESTATE DEPARTMENT TEAM

Our Real Estate Department consists of three teams; Real Estate Development, Asset Management and Capital Projects. The team is responsible for the development, management and the revitalization of Homes for Good’s real estate assets.

WHAT YOU WILL DO FOR OUR TEAM

As a key role in our Asset Management team, the Asset Management Specialist supports Homes for Good’s mission by assisting the Asset Management Department in monitoring and oversight of the physical, fiscal and regulatory operations of Agency real estate. This position compiles, analyzes and presents data and reports, performing a wide variety of responsible and complex administrative duties in support of the Asset Management function.

Areas of responsibility include oversight of compliance, reporting and monitoring.

DUTIES:

These are intended only as illustrations of the various types of work performed. The omission of specific duties does not exclude them from the position if the work is similar, related, or a logical assignment to the position.

  • Responsible for tracking, preparing and submitting highly detailed compliance reports for a variety of properties in a timely manner.
  • Assist in the monitoring, coordination and oversight of the fiscal and regulatory operations of the agency's Asset Management Department. Perform a wide variety of complex, responsible and confidential administrative duties for the Asset Manager and Division Director including the preparation of reports, documents and special projects.
  • Assist in the administration of Homes for Good’s risk management activities, including overseeing insurance renewals, processing claims and providing training and information regarding risk management and insurance related internal procedures.
  • Ensure adequate insurance coverage for various Agency departments and programs.
  • Respond to inquiries from third party management companies and Affordable Housing residents in a professional and timely manner.
  • Respond to requests for information on regulations, procedures, and systems and precedents relating to assigned responsibilities.
  • Assist in monitoring occupancy levels to ensure a continued awareness of market trends; provide assistance to the Asset Manager in identifying and resolving occupancy issues.
  • Type and proofread a wide variety of reports, letters, memoranda, statistical charts, and confidential material; type from rough draft, verbal instruction; independently compose correspondence related to assigned responsibilities.
  • Maintain an adequate level of cross training to provide baseline support in the absence of the Asset Manager.
  • Maintain appointment schedules and calendars; arrange meetings; make travel arrangements.
  • Initiate and maintain a variety of files and records for information related to the department.
  • Attend and participate in professional group meetings; stay abreast of new trends and innovations in the field of asset management.
  • Performs various administrative support functions for the Asset Management department including but not limited to scheduling, recordkeeping, note/minutes taking, drafting correspondence, data entry, document preparation and assistance with special projects.
  • Other related duties as assigned.

  • Pertinent federal, state and local laws and regulations.
  • Principles and practices of recordkeeping and reporting.
  • Generally accepted property management principles, terminology, and concepts.
  • Operations, services and activities of a comprehensive asset management program.
  • Principles and practices of budget development and administration.
  • Principles and practices of housing development.
  • Principles and practices of leasing and maintaining housing and rental units.
  • Methods and techniques of evaluating and resolving occupancy issues.
  • Communicate effectively, both verbally and in writing, with employees, Agency partners, clients, and the general public; prepare clear and concise reports; gain cooperation through discussion and mediation.
  • Manage complex and time-critical processes.
  • Work in partnership with property managers, funders, investors, consultants, contractors, regulatory bodies, community partners and Homes for Good staff.
  • Work in a collaborative team environment.
  • Monitor contracts and agreements.
  • Draft comprehensive written presentations to public and private groups.
  • Create and maintain complex spreadsheets related to Asset Management.
  • Create and maintain manual and computerized filing and record-keeping systems.
  • Occasionally travel to a variety of other locations in Oregon or out of state and stay overnight.
  • Analyze, evaluate, and reach sound conclusions on issues or problems. Resolve and/or direct resolutions; ensure follow up on outcomes.
  • Prepare and maintain accurate and complete records.
  • Demonstrate a commitment to the ideals of social & economic justice and housing as a basic human right.
  • Embrace and promote an inclusive and equitable work environment.
  • Recognize the value of each individual and cultural difference and create a work environment where individual differences are valued.
  • Support Agency goals and values.
  • Safely operate Agency vehicles, adhering to all traffic laws, safety regulations and Agency policies.
  • Learn, interpret, follow and apply federal, state, local and Agency laws, regulations, policies and procedures related to Agency operations and assigned areas of responsibility.

EXPERIENCE & TRAINING GUIDELINES

Any combination of experience and training that would provide the knowledge, skills and abilities to perform the job is sufficient. Typical combinations of training and experience would be:

EXPERIENCE

Three or more years of increasingly responsible administrative experience, preferably in the field of Asset, Property or Risk Management.

TRAINING

Equivalent to a bachelor’s degree from an accredited college or university with major coursework in areas such as finance, business administration, public policy or related field.

SUBSTITUTION

Any combination of experience and education on a year for year basis up to a maximum of four years of responsible accounting and/or administrative experience may be substituted for the education required provided that the knowledge, skills, and abilities to perform the work has been demonstrated.

LICENSE OR CERTIFICATE:

Possession of, or ability to obtain, a valid State of Oregon vehicle driver’s license, and be insurable at standard rates is required of this role.

CHAM Asset Management certification preferred but not required.

COMPENSATION: The pay range for this position is $23.39 to $31.34 per hour ($48,648.36 to $65,193.94 per year) with a generous benefits package which includes paid health, dental and vision insurance for you and your family after one month of employment, along with life insurance and a 12% contribution of your monthly salary into a retirement account after 6 months of employment.
