JOB DESCRIPTION
POSITION: Purchasing/Logistics
4141 Design Group is a turn-key interior design studio and showroom in the Miami Design District. Dedicated to customer service and professionalism, 4141 Design Group creates a highly personalized experience for clients by offering luxury European furnishings, closets and kitchens, lighting and outdoor.
Summary:
Organized and competent, employee needs to be skilled in concise communication, scheduling, and accurate documentation.
Oversee 5 major areas of operation in the moving of goods to generate maximum efficiency, profitability, and customer service.
Showroom-Core Duties and Responsibilities:
· Receives inventory into QuickBooks
· Manage constant rotation of showroom inventory-keep updated inventory log
· Work closely with Lead Designer to coordinate deliveries for showroom displays which are consistently updated
· Coordinate all maintenance needed for showrooms
· Schedule and manage cleaning crew
· Generate ETA for sales associates and customers
· Send notification of shipments to accounting for balance collection
· Schedule deliveries for clients via coordination with outsource warehouse
· Work closely with freight forwarders to arrange international air freight
· Plan, direct, and coordinate claims, warehousing, distribution, and forecasting
Warehouse-Core Duties and Responsibilities:
· Coordinate with factories to arrange shipments via air and sea
· Check shipments received into our outsource warehouse located in Hialeah as needed
· Manage detailed warehouse inventory-keep updated inventory log
· Liaise with warehouse coordinator to schedule white glove deliveries
· Keep ETA log (estimated time of delivery)
Claims-Core Duties and Responsibilities:
1. Submit, pursue, negotiate and track all claims with vendors/warehouse
· Keep Excel log for all claims with each vendor
· Coordinate claim with sales person and accounting
Customer Service-Core Duties and Responsibilities:
· Customer service for all shipments national and international
· Inform clients and sales associates of shipment status while product is en route
· Resolve problems concerning transportation, logistics systems, imports/exports, or customer issues
· Oversee the re-order process from claims
· Communicate progress and ETAs with sales associates and customers
Purchasing-Core Duties and Responsibilities:
· Generate purchase orders; check confirmations from factory against PO
· Verify consistency between sales order/POs/factory checklists
· Apprise management of approaching vendor payments
· Keep payouts on schedule to maintain healthy vendor relationships
· Resolve purchasing issues with clients/vendors/sales associates
· Implement whole-company organizational strategies
· KPI reporting
· Accounts receivables/payables
· Daily invoicing of purchases
· Generate daily batch reports for management
· Coordinate with Logistics on claims
· Schedule national and international wire transfers
Requirements:
· Preferably Experienced in QuickBooks
· Proficient in Excel
· Accounts Payables & Receivables
· Accounting Reports
· Multi-lingual is a plus

Salary: $18.00 - $20.00 per hour
