Job Title: Lead Accountant

Pay Status: Non-exempt; hourly

Reports To: Chief Financial Officer

Job Summary:

The Lead Accountant works directly with the Chief Financial Officer to maintain the financial records of the organization including processing payroll, maintaining accounts receivable and accounts payable, preparing monthly bank reconciliations, preparing journal entries, processing month and year-end close, and assisting the CFO with human resource tasks.

Supervisory Responsibilities:

  • None.

Duties/Responsibilities:

  • Work with CFO to monitor controls for organization; provide input relating to processes, procedures, projects, and self-improvement.
  • Review and process payroll, including updating necessary rate changes, deductions, and withholdings.
  • Assisting with HR functions, such as keeping personnel records up-to-date.
  • Maintain employee sick and vacation records.
  • Monitor the daily advancing and utilization of leasing system, ensuring notes and housing authority correspondence are being added to the system when received.
  • Accounts payable processing including: review vendor invoices for accuracy, code and enter into accounting system; monitor cash balances; upload checks in positive pay; and ensure bills are scanned into accounting system.
  • Ensure timely payment of financial obligations. Process approved check and online bill payments.
  • Enter deposits in leasing and accounting system. Monitor and resolve tenant and housing authority accounts receivable balances.
  • Prepare and provide reports, schedules, letters, and/or information as needed.
  • Close books monthly and prepare financial statements, including preparing journal entries, reconciling bank accounts, and preparing schedules.
  • General Ledger and financial statement analysis, analyzing and investigating variances and trends.
  • Facilitate credit card expense tracking by handling supporting documentation for transactions (receipts, approvals, etc.), recording, and reconciling monthly.
  • Provide excellent customer service to residents in person, in writing, and over the phone.
  • Maintain vendor W9 and insurance documentation.
  • File reports and correspondence.
  • Process security deposit notification letters for former tenants within the required deadlines.
  • Work with residents to negotiate payment plans with CFO approval and provide documentation to resident of the approved payment plan. Track payment plans.
  • Maintain compliance with US GAAP standards and government regulations.
  • Assist in annual budget preparation and forecasting.
  • Maintain strict confidentiality of tenant information, business information, and other protected information.
  • Maintain professional and technical knowledge by attending educational workshops and trainings.
  • Perform other related duties as assigned.

Non-Essential Functions:

  • Serve on a safety committee.

Education and Experience:

  • Minimum of a Bachelor’s Degree in Accounting, Finance, or related field.
  • Minimum 2 years of relevant accounting experience.
  • Technical accounting knowledge with an understanding of US GAAP.
  • Excellent written and verbal communication skills.
  • Proficiency with Adobe, Microsoft 365, Outlook, Excel, and Word.
  • Ability to read, analyze, and interpret financial reports.
  • A proactive, self-directed approach with the ability to learn quickly in a fast-paced environment.
  • Ability to leverage technology for efficient data gathering and analysis.
  • Ability to manage deadlines and accurately process data under time limited restraints.
  • Strong interpersonal skills for interacting with other departments, vendors, tenants, and upper management
  • Experience in non-profit accounting and/or property management preferred.
  • Experience with RealPage Onsite Leasing and Rents preferred.

Physical Requirements:

  • Prolonged periods standing, bending, sitting, kneeling, and walking.
  • Must be physically able to climb stairs, and traverse uneven ground.
  • Must be able to lift up to 40 pounds at a time.
  • Work inside or outside in varying temperature and weather conditions.
  • Work in rough and uneven terrain.
