Heartland Acoustics & Interiors is the leading subcontractor of suspended acoustical ceilings, specialty metal ceilings, wood ceilings, security ceilings, acoustical wall panels, acoustical sound treatments, stretch wall & ceiling systems, architectural panel systems, demountable partitions, acoustic pods, interior & exterior cladding, rainscreen systems, and perforated metal panels.

Having experienced growth and consistent client satisfaction for over twenty-five years, Heartland Acoustics & Interiors, headquartered in Colorado, has offices in Denver, San Diego, Austin, Seattle and Raleigh-Durham. The company is positioned to become the construction industry’s preferred ceiling and specialty contractor in their markets, and we are looking for a new Accounting Payroll Specialist to assist the accounting department at the Corporate Colorado location.

Position Summary:

The Accounting Specialist-Emphasis Payroll will work with the Accounting department and other management to ensure accurate processing and recording of payroll, provide timely and accurate financial information, and participate in the daily data entry for payroll processing. The Accounting Specialist-Emphasis Payroll, provides our employees exceptional customer service and communicates through email, phone, written documents and in-person.

This position requires an exceedingly well-organized and flexible person who enjoys the challenges of supporting a small office of diverse people and programs. This person should have the ability to work independently and foster a team-oriented, collaborative environment, work under pressure, be proactive, and express a high level of professionalism. Strong level verbal and written communication skills, strong knowledge of Microsoft Office, and attention to detail are also important. 

Essential Duties and Responsibilities:

  1. Handle workflow to guarantee all payroll operations are precisely and promptly performed.
  2. Process the weekly payroll for all branches
  3. Process approved time cards
  4. Process approved time off – paid and unpaid
  5. Process any and all wage changes for that pay period
  6. Work with HR to ensure all employee benefit deductions are accurate and timely
  7. Work with HR to ensure all new hire personnel data is accurately input in the payroll system
  8. Process salary changes, deductions and bonus pay
  9. Reconcile payroll prior to transmission
  10. Prepare Certified Payroll reports and submit information on a timely basis
  11. Process monthly, quarterly and annual tax payments and returns
  12. Post and reconcile payroll records (Taxes, Benefits & 401k) to the General Ledger
  13. Work on accurate garnishments adherence and calculations
  14. Understand and facilitate proper taxation of employer paid benefits
  15. Understand and adhere to all state and federal regulations for payroll processing
  16. Process final paychecks accurately and timely
  17. Respond to employee inquiries regarding payroll issues or concerns
  18. Perform payroll audits on a bi-annual basis
  19. Respond to verifications of employment for prior and current employees

Working Environment & Physical Activities: This position will be working primarily indoors in a smoke free environment. The physical demands described here are representative of those that must be met by the employee to successfully perform the essential functions of this job.

  1. BODY POSITIONS: While performing the duties of this job, the employee is regularly required to sit for long periods of time while performing the essential functions. Also required to stand, walk, stoop, kneel, crouch and potentially crawl.
  2. BODY MOVEMENTS: The employee must have a full range of body movements including the use of his/her hands to fingers, handle, and feel objects such as computer equipment. The ability to bend the body, to reach for objects, and to crouch when needed are also required.
  3. BODY SENSES: The employee must have ability and command of sight, hearing and touch. Specific vision abilities required include close vision, depth perception, and the ability to adjust focus. These vision requirements in each area must be sufficient to perform the functions of this job.
  4. STRENGTH: Must be able to lift 20 lbs periodically.

Minimum Qualifications:

  1. Three (3) or more years of experience in a payroll processing role or related position
  2. Demonstrated ability to operate Sage 100 or equivalent accounting software system.
  3. Ability to read, analyze and interpret standard accounting reports and legal document.
  4. Ability to work independently with minimal supervision.
  5. Strong attention to detail.
  6. Ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism.
  7. Exceedingly well organized, flexible and enjoy the accounting and administrative challenges of supporting an office of diverse people and programs.
  8. Ability to respond to common inquiries or complaints from customers, regulatory agencies, and members of the business community.
  9. Ability to effectively communicate, in English, both verbally and in writing
  10. High school diploma or equivalent

 Preferred Qualifications: (but not required)

  1. Experience in an accounting role in a construction related field 2. College degree in Accounting or related field.
  2. Customer service experience
  3. Notary
