Position: Dental Office Manager
Reports To: Dentist/Company Executive
Position Description: The Office Manager will take charge of all admin responsibilities for front-office employees, including reception and dental assisting specialists. The purpose of a dental office manager is to assist all staff in any way possible to become more efficient, productive, and competent, thus helping to create a profitable practice that delivers excellent service to patients. To excel in this role, you should be a leader who is self-motivated, highly organized, a good communicator, and has the talent to inspire teams. It is important that you understand how to manage staff schedules and billing systems. You will be guaranteeing office productivity, developing and managing all internal office procedures and practices. You will provide direct individual and team leadership to ensure all office employees produce outstanding service for our patients.

Responsibilities for Dental Office Manager:

  • Anticipate proactively and respond efficiently to patient and doctor needs and inquiries
  • Respond to clinical and operational issues in a timely and professional manner ensuring delivery of highest quality care to the patients
  • Resolve patient issues in accordance with company policies and procedures, healthcare regulations and dental board standards
  • Implement and coordinate the day-to-day execution of office processes that increase productivity and efficiency
  • Manage patient scheduling and direct patient traffic flow
  • Create and present treatment plans to patients based on insurance benefits for HMO, PPO or Office’s own Insurance Plan
  • Organize and present financial payment arrangements to patients
  • Manage and track dental claims submissions and payments
  • Update and maintain patient accounts with accurate payment postings, credit balances and receivables
  • Coordinate with dental insurance companies to ensure claims are paid timely and accurately
  • Recruit, train and develop office staff to meet operational and performance requirements
  • Determine staff schedules and ensure operational standards are met
  • Manage employee relations and ensure staff has the necessary resources and support required
  • Conduct morning huddles to plan for the day and other staff meetings as necessary for open communication and operational efficiency of the office
  • Monitor and maintain the office budget
  • Organize and oversee supply purchases, equipment upgrades and operations expenses
  • Complete administrative functions including bank deposits, revenue posting, staff payroll and invoice processing
  • Oversee collections and accounts receivable
  • Write business correspondence and reports
  • Run and analyze daily, monthly, quarterly and annual management reports
  • Support marketing and promotion initiatives
  • Maintain patient data according to regulations and company policies
  • Ensure that records are stored securely and in compliance with privacy and security regulations
  • Take responsibility for the appearance and functionality of the office
  • Maintain facilities, equipment and documentation in accordance with hygiene and safety regulations including OSHA
  • Assist in end of day office closing activities
  • Ensure compliance with HIPAA and OSHA standards and requirements in all interactions.
  • Be a Team Player and assist team members as needed
  • Perform all duties with utmost honesty, integrity and humility


Qualifications for Dental Office Manager:

Bachelor's or Associate's Degree preferred. High School Diploma is required
A minimum of 2 years of dental administration experience is required
Dental Office Manager certification is preferred
Management or supervisory experience, preferably in dental setting
Demonstrate leadership qualities and skills
Working knowledge of dental terminology, dental office procedures and dental office workflow
Working knowledge of basic accounting and administrative principles and procedures to maintain patient ledgers accurately
Working knowledge of insurance plans and claims processing
Hands-on knowledge of Dentrix or similar software required
Working knowledge of MS Office and basic computer softwares and functions
Organization, time management and multitasking abilities.
Positive attitude and professional appearance
Working knowledge of dental terminology
Excellent communication and interpersonal skills
Proven ability to follow outlined policies and guidelines
