Position Summary:
The Intake Specialist serves as the first point of contact for prospective clients and plays a critical role in lead conversion, client experience, and new matter onboarding. This position is responsible for answering inbound calls, conducting detailed legal intakes, scheduling attorney consultations, managing lead follow-up through Pipedrive, documenting all intake activity in Practice Panther, assisting with contract preparation, and initiating onboarding workflows in accordance with Firm procedures.

Job Duties:
- Own all inbound client intake and first interactions
- Ensure accurate, complete entry of all client data and case details
- Schedule consultations efficiently to maximize attorney utilization
- Drive consistent follow-up to convert leads into retained clients
- Support contract execution and ensure seamless client onboarding
- Prior experience in a law firm intake, legal assistant, or client-facing administrative role preferred.
- Strong verbal and written communication skills.
- Excellent organizational and time-management abilities.
- High attention to detail and accuracy.
- Ability to manage multiple tasks in a fast-paced environment.
- Professional demeanor with strong customer-service skills.
- Experience with Practice Panther and/or Pipedrive.
- Familiarity with probate, estate planning, or litigation terminology.
- Sales, intake, or lead-conversion experience in professional services.
- Timely response to all inbound leads and required follow-ups.
- Accurate and complete intake documentation.
- Proper management of Pipedrive deal stages.
- Professional communication and high client satisfaction.
- Adherence to Firm procedures and performance standards.
