Summary / Objective
The QMS Specialist is responsible for executing, maintaining, and continuously monitoring quality management system (QMS) procedures and processes. This role supports the Director of Quality in system governance, compliance, and continuous improvement initiatives to ensure effectiveness and sustainability of the QMS.
Essential Functions

- Ensure the Quality Management System complies with ISO 9001, API Q1, and applicable customer requirements to sustain certifications.
- Maintain consistent application of QMS procedures across multiple manufacturing facilities, escalating system-level gaps or conflicts as needed.
- Perform day-to-day QMS activities, including management of training records, document control coordination, procedure updates, and compliance with documented information requirements.
- Administer the internal audit program, including scheduling, auditor coordination, tracking findings, and verifying corrective actions.
- Support preparation and execution of Management Review, including compiling metrics, audit results, and corrective action status.
- Maintain and track the corrective and preventive action (CAPA) system, ensuring timely root cause analysis, action implementation, and effectiveness verification.
- Provide QMS-related training and awareness to ensure employees understand applicable procedures and requirements.
- Track and report key QMS performance indicators, including audit outcomes, CAPA status, document control metrics, and compliance trends.
- Support cross-functional QMS initiatives with Operations, Quality Control, Project Management, and other departments.
- Evaluate overall QMS effectiveness by identifying trends, recurring issues, and system gaps, and escalate improvement opportunities to leadership.

Work Environment
The role primarily operates in office, meeting, and training environments. Occasional exposure to manufacturing areas requires use of personal protective equipment (PPE), including hard hats, safety glasses, hearing protection, and appropriate footwear.

Position Type / Expected Hours
Full-time position. Standard work schedule is Monday through Friday. Additional hours may be required based on project needs or deadlines.

Knowledge Requirements

Required Education and Experience
- Bachelor’s degree in a technical, scientific, or business discipline, or equivalent relevant experience.
- Hands-on involvement in QMS activities within a manufacturing environment, including at least one of the following:
- Internal auditing
- Corrective action administration
- Document control
- Quality records management
Preferred Qualifications
- Bachelor’s degree in engineering or related technical field.
- 3 years of experience executing QMS activities in steel, pipe, or heavy manufacturing.
- Experience working within ISO 9001 or API Q1 certified environments.
- Experience with SAP, particularly in quality modules (nonconformance tracking, CAPA workflows, quality notifications).
