Position Summary
Reporting to the Plant Manager, the Office Supervisor is a key contributor to Zinpro’s success by coordinating all activities around the office, with special emphasis on Quality System requirements. Work will center around managing Quality System documents, maintaining quality records, administering company policies, and managing a variety of office activities as needed. Success in this position requires knowledge of quality systems, basic HR, accounting, and operations processes, and strong planning and organizational skills. This role is based in a Zinpro manufacturing plant.
Essential Functions
- Manage raw material and finished product approval processes, shipping plans, export orders, and product transfer schedules.
- Oversee site-wide inventory management, including SAP transactions, material records, manufacturing order closures, and data accuracy across Operations, Quality, Supply Chain, and Finance.
- Run, review, and maintain SAP reports; support SAP data validation during audits.
- Assist with production documentation, scheduling, shift coverage coordination, and maintaining controlled documents (SOPs, Work Instructions, forms).
- Maintain internal quality audit requirements and manage Corrective Action Requests and Heads-Up forms.
- Assist with environmental, OSHA, and corporate regulatory reporting.
- Support audits, inspections, and continuous improvement initiatives, including 5S documentation and plant metrics.
- Provide administrative support to plant leadership and department managers, including managing calendars, meetings, travel, and correspondence.
- Maintain electronic filing systems, answer and route calls and emails professionally.
- Order and maintain office and plant supplies, coordinate plant tours and on-site functions.
- Maintain confidentiality of sensitive information.
- Maintain training files, track certifications and attendance, and support new hire onboarding and temp personnel coordination.
- Assist with employees onboarding documentation and training record management.
- Serve as a liaison between departments, vendors, and visitors.
- Compile and post plant communications and performance metrics.
- Performs other duties as assigned
Qualifications
Minimum Required:
- Associate’s degree (AA) or Vo-Tech Degree or program OR High School Diploma or equivalent and 5 plus years’ relevant experience
- Minimum three years’ related related quality and/or office administration experience
- A working knowledge of production practices, and general office procedures
- Excellent communication and organizational skills
- Professionalism and discretion
- Proficiency in Microsoft Office: Word, Excel, PowerPoint, and Outlook
- Strong analytical, problem solving, communication, and interpersonal skills
- Attention to detail

Schedule Requirements
This position is expected to work within core business hours - 4, 10 hour shifts occasional Fridays.
Travel Requirements
This position will work primarily at their home manufacturing plant facility and is expected to engage in company-sponsored travel approximately 10-15% of the time. Travel will consist primarily of visits to Zinpro Corporate Headquarters and manufacturing facilities.
