What are the responsibilities and job description for the Front Desk Receptionist position at Zieker Eye Ophthalmology, PC?
Main Job Functions:
Seeking front office associate for busy ophthalmology practice. Job requires ability to manage multiple projects at one time. Tasks include: receive and direct incoming phone calls throughout the day, patient check-in/check-out, appointment booking, appointment confirmation calls, accept and post co-pays and other payments, insurance eligibility checks, greeting patients, receptionist skills, knowledge of EPM/EHR system. Additional tasks:
Telephone:
Answer, screen and direct incoming calls; schedule patients as needed, confirm patient appointments, direct incoming phone calls appropriately, deliver phone messages in timely manner
Customer service:
Greet patients, ensure their comfort in the waiting room, monitor flow and ensure technicians pick patients up in timely manner; remain professional regardless of patient’s demeanor
Help patients complete forms as needed; answer their questions/concerns
Practice Management System/EHR:
Enter patient and insurance information accurately into EPM system
Book appointments, change appointments, cancel as needed; set-up post-op visits, testing visits; follow-up on missed appointments and rescheduled appointments
Record recall plans, marketing plans, customer service notes; follow-up on these plans as needed ; maintain accurate records of these plans
Enter patient payments and balance daily deposit, apply daily transactions, counter credits, co-pays; submit batch daily to provider; proper accounting and entering into system
Scan documents into patient charts as needed; scan patient records, releases, etc.
Run reports as needed & communicate results/issues with back office/providers
Ophthalmic Technical knowledge:
Understand services/exams offered, types of surgery conducted, time required for various types of appointments
Understand co-pay policies, refraction policy, other office policies that directly affect patients
Understand insurance carriers and their impact on the business and the patients
Faxing:
Check faxes including MyFax daily; either scan or bring to providers attention as needed
Computer skills:
Working knowledge of internet, e-mail, faxing documents, credit card processing terminal, multi-line phone system
Daily checking of appointment email address; respond as needed
Waiting Room:
Keep front desk and waiting room tidy and organized
Time Management:
Arrive to work on time, record hours accurately; return from breaks on time
Manage time out of office with counterpart
Compliance:
Comply with HIPAA/OSHA guidelines
Teamwork:
Assist technical/provider staff when asked/needed
Office management – assist with back office tasks as needed (i.e. office supplies ordering/tracking)
Scheduling:
Maintain all schedules (i.e. knowing when a provider is off/out of the office, lunch meetings, office meetings, etc.); maintain master schedules in EPM; book rep/vendor lunches & meetings; enter surgery dates into system and other provider out of office data
Open/close office at beginning/end of day as needed
Work together and with technical staff to ensure front desk coverage during business hours
Pay: $19.00 - $23.00 per hour
