Full-Time | Salary: $80,000–$120,000 per year

Position Summary

We are seeking an experienced Special Projects HVAC Estimator / Project Manager to join our growing team. In this role, you will oversee commercial HVAC replacement and special projects from initial customer consultation through project completion. You will work closely with building owners, facility managers, engineers, vendors, and internal teams to develop accurate estimates, coordinate project execution, and ensure exceptional customer satisfaction.

Essential ResponsibilitiesEstimating & Customer Relations

• Coordinate HVAC replacement leads from initial customer contact through project award.
• Schedule and perform site visits to evaluate existing HVAC equipment and systems.
• Assess system performance and recommend replacement or design/build solutions.
• Collaborate with engineering and design teams to resolve technical questions and develop project solutions.
• Obtain equipment, material, and vendor pricing for individual projects.
• Develop accurate project estimates, budgets, and replacement costs.
• Prepare detailed proposals and present recommended solutions to customers.
• Respond to customer questions throughout the estimating process while providing outstanding customer service.

Project Management

• Coordinate awarded projects with project managers, field personnel, and scheduling teams.
• Manage HVAC replacement and special projects from planning through completion.
• Coordinate project execution with internal departments and subcontractors.
• Schedule and oversee major project activities including crane lifts, factory start-ups, owner training sessions, and equipment deliveries.
• Monitor project schedules, budgets, and progress to ensure projects are completed safely, on time, and within budget.
• Identify additional service opportunities and communicate them to the Service Division.
• Ensure project billing is completed accurately and in a timely manner.

Project Administration

• Participate in project turnover, pre-construction, progress, and closeout meetings.
• Prepare, review, distribute, and track project submittals throughout the buy-out process.
• Assist with subcontractor and general contractor coordination as needed.
• Maintain accurate logs for Requests for Information (RFIs) and Change Orders (CORs).
• Ensure current project drawings are distributed to both field and office personnel.
• Compile and distribute project closeout documentation including:
• As-built drawings
• Warranty documentation
• Owner manuals
• Required project closeout paperwork

Safety & Teamwork

• Promote and maintain a strong safety culture by following all company safety policies and OSHA regulations.
• Utilize required Personal Protective Equipment (PPE).
• Demonstrate professionalism, integrity, accountability, and teamwork.
• Support company core values while maintaining positive relationships with customers, vendors, and coworkers.

Qualifications

• 5–10 years of commercial HVAC experience required.
• HVAC estimating experience required.
• Project management experience preferred.
• Experience managing commercial HVAC replacement or retrofit projects is highly desirable.
• Strong understanding of commercial HVAC equipment and mechanical systems.
• Ability to read and interpret mechanical drawings, specifications, equipment installation manuals, operation manuals, and submittals.
• Excellent organizational and time management skills.
• Strong analytical, critical thinking, and problem-solving abilities.
• Outstanding verbal and written communication skills.
• Ability to effectively manage multiple projects and priorities simultaneously.
• Detail-oriented with exceptional follow-through.
• Highly dependable, trustworthy, and self-motivated.

Preferred Skills

• Knowledge of commercial HVAC installation methods and system operation.
• Experience working with engineering and design teams.
• Proficiency with Microsoft Office Suite.
• Experience with Bluebeam, Procore, Viewpoint, or similar construction/project management software is a plus.
• Understanding of construction scheduling, procurement, and project documentation.
• General knowledge of OSHA safety standards and safe work practices.

Physical Requirements

• Ability to stand, walk, bend, stoop, kneel, crawl, climb stairs, and work in confined spaces.
• Ability to lift and carry materials weighing between 25 and 100 pounds.
• Comfortable working on rooftops, ladders, aerial lifts, and elevated work platforms.
• Ability to use hand and power tools when required.
• Ability to work outdoors in varying weather conditions, including heat and cold.
• Ability to wear required Personal Protective Equipment (PPE).
• Specific vision abilities include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Work Environment

This position combines office responsibilities with regular field work at commercial job sites.

Office duties include routine use of:

• Computers
• Phones
• Printers, copiers, and other office equipment

Field responsibilities include:

• Visiting active construction and retrofit job sites
• Inspecting existing HVAC systems
• Working in unfinished or unconditioned buildings
• Exposure to moving mechanical equipment, airborne particles, electrical hazards, and varying weather conditions
• Working at heights on ladders, lifts, and rooftops
• Occasional exposure to loud noise levels
