We are currently seeking a detail-oriented and organized Administrative Assistant to join our Erie, PA team. In this crucial role, the individual will possess strong organizational and communication skills, along with a keen eye for accuracy. The Administrative Assistant will ensure efficient day-to-day operations of various office processes, particularly related to billing and project documentation.
Primary Responsibilities:
- Perform day-to-day administrative tasks to assist Office Manager and Project Manager.
- Prepare and distribute various documents, reports, and correspondence, as required.
- Manage billing processes, ensuring accuracy and timely submission of invoices.
- Handle other company billings as assigned, adhering to specific billing guidelines and requirements.
- Assist with the preparation of bid documents, compiling necessary information accurately and efficiently.
- Support the closeout documentation process after project completion, ensuring all relevant documentation is organized and filed appropriately.
- Assist in generating project-specific reports, contributing to project analysis and evaluation.
- Provide support to the Office Manager and serve as backup.
- Other administrative duties as assigned.
Required Skills:
- Experience with progress billing and T&M billing.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Proficient in Microsoft Office Suite or related software.
- Excellent organizational skills and attention to detail.
- Ability to work independently, prioritize, and meet deadlines.
- Positive attitude and strong interpersonal skills, capable of working effectively in a team environment.
Education and Experience:
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
- Two (2) to Five (5) years of experience in a similar role.
- Experience within the construction industry to include AIA billing.
