Project Overview
Urick Ductile Solutions maintains a significant volume of critical business information stored on a shared network drive (F:/), including Quality Management System (QMS) documentation, production records, safety materials, policies and procedures, sales resources, scheduling tools, and finance-related files.
The objective of this summer project is to transition this information into Microsoft Teams and SharePoint in a thoughtful, structured, and sustainable way, consistent with manufacturing, quality, and document-control best practices. This is not a simple file transfer project; it requires organization, standardization, and coordination with functional leaders to ensure the system supports day-to-day foundry operations and long-term governance.
The position reports to the Foundry Director and will work closely with Urick functional department managers.
Key Project Responsibilities
Under the direction of the Foundry Director and with input from functional leaders, the summer project associate will:
•Inventory & Assess Existing Content
o Review folder structures and files across the F:/ drive
o Categorize content by function (Quality, Safety, Production, Sales, Finance, Scheduling, Policies, etc.)
o Identify obsolete, duplicate, or unclear documents for management review
•Design a Logical Teams / SharePoint Structure
o Help define standardized folder structures aligned to Urick’s operating model
o Apply consistent naming conventions for folders and files
o Ensure alignment with QMS, safety, and document-control expectations
•Execute Document Migration
o Migrate approved documents into appropriate Microsoft Teams and SharePoint locations
o Preserve current working versions while flagging documents needing revision or ownership clarification
o Validate accessibility and permissions with department owners
•Support Governance & Sustainability
o Assist in drafting simple, practical guidance for document storage and usage
o Help clarify functional ownership for key document areas
o Support a structure that prevents re-creation of unstructured shared-drive storage
•Coordinate Across the Foundry Organization
o Meet periodically with department managers to confirm accuracy and usability
o Track progress, issues, and decisions using a simple status log
o Elevate questions and provide recommendations to the Foundry Director as needed
