Responsibilities
The HR Executive Business Administrator provides high-impact administrative and operational support to a senior Human Resources executive, while also partnering closely with members of the local HR and leadership teams on priority initiatives. This role is a trusted partner who enables executive effectiveness by managing complex logistics, communications, and operational processes in a fast-paced, highly confidential environment. This position plays a critical role in supporting the HR leadership team and advancing strategic HR priorities across the organization. The ideal candidate brings sound judgment, discretion, strong organizational skills, and the ability to operate independently while juggling competing priorities.

Salary Range
HR Executive Business Administrator - The typical base pay range for this position at the start of employment is expected to be between $75,000- $130,000 per year.
ZeniMax has different base pay ranges for different work locations within the United States, which allows us to pay employees competitively and consistently in different geographic markets. The range above reflects the potential base pay across the U.S. for this role; the applicable base pay range will depend on what ultimately is determined to be the candidate’s primary work location. Individual base pay depends on various factors, in addition to primary work location, such as complexity and responsibility of role, job duties/requirements, and relevant experience and skills. Base pay ranges are reviewed and typically updated each year. Offers are made within the base pay range applicable at the time.
At ZeniMax certain roles are eligible for additional rewards, such as merit increases and discretionary bonuses. These awards are allocated based on individual performance and are not guaranteed. - Own complex calendar management, including prioritization, conflict resolution, and coordination across multiple time zones.
- Manage end-to-end travel planning and expense reporting with a high level of accuracy and compliance with company policies.
- Provide support for high-volume HR operational activities, including regulatory and compliance reporting, employee inquiries and requests for information (RFIs), issue tracking, project coordination, HR metrics and reporting, and ERG-related support.
- Support executive meeting preparation by synthesizing background materials, drafting summaries and meeting minutes, and assisting with follow‑up communications and key meeting materials.
- Support day-to-day HR operational needs, including purchasing, vendor coordination, PR/PO submissions, and basic budget tracking for HR programs, employee initiatives, and events; partner closely with Finance and Procurement to ensure timely processing.
- Coordinate logistics for team events, offsites, and space planning as needed.
- Support employee programs such as swag distribution, service awards, and CE distribution, ensuring accurate tracking and smooth execution.
- Serve as an operational partner to the local HR team at the Rockville campus, providing hands-on support as needs arise.
- Support routine communications, scheduling notes, and internal updates on behalf of the executive.
- Provide onboarding and training coordination assistance, including badges, space, equipment, and logistical setup.
- Track action items, deadlines, and commitments to support leadership follow-through.
- Coordinate across HR functions and studio partners to ensure alignment and timely execution of requests
- 5 years of experience supporting a senior leader in a complex, fast-paced organization.
- Strong organizational, prioritization, and time-management skills with consistent attention to detail.
- Demonstrated ability to handle confidential and sensitive information with professionalism and discretion.
- Experience with enterprise scheduling, expense, purchasing, and collaboration tools
- Sound judgment and discretion in day-to-day decision-making.
- Proactive, solution-oriented mindset with a strong sense of ownership.
- Ability to build effective working relationships across HR, finance, and studio teams.
- Consistent follow-through and reliable execution in support of leadership priorities
