Front Desk Team Member – Zen Space Wellness
At Zen Space Wellness, our Front Desk team plays a vital role in creating a seamless, welcoming experience for every patient who walks through our doors. From being the first point of contact and delivering exceptional customer service, to ensuring the accuracy of alternative care insurance benefit quotes and supporting daily clinic operations, this role is at the heart of everything we do.
Our front desk is truly the face of our small business, and we place a high value on professionalism, friendliness, discretion, patience, and genuine care. This is not a passive position—each day requires a proactive mindset. Our Front Desk team members balance multiple responsibilities at once while managing a steady in-person patient flow alongside high call and text volumes.
This is also a highly collaborative role. We operate across three clinic locations with a shared provider and patient base, so strong communication, teamwork, accountability, and a solutions-oriented approach are essential to success.

Roles & Responsibilities
- Represent Zen Space Wellness as a warm, professional, and public-facing team member, delivering customer service grounded in compassion and efficiency
- Greet and check in patients prior to appointments, ensuring all required forms, files, and documentation are complete and accurate
- Check out patients after appointments, processing insurance, time-of-service payments, and other transactions with accuracy in coordination with our billing team
- Co-manage daily schedules across all providers and locations, including accurate scheduling, filling gaps and cancellations, and auditing schedules in advance for insurance details, authorizations, forms, balances, and other key appointment information
- Collaborate with our Benefits Coordinator and Billing Manager to obtain and maintain accurate insurance benefit quotes for both new and returning patients via online portals and phone communication with provider representatives
- Stay current on internal processes and procedures, adapting quickly as updates and changes are implemented
- Maintain a clean, calm, and welcoming clinic environment through light daily cleaning, tidying, restocking, and laundry; prepare and maintain a small water and tea station for patients
- Support Acupuncturists, Massage Therapists, and Chiropractors with on-site tasks as needed
- Assist with promotional and marketing efforts when applicable
- Attend all required Front Desk team meetings
- Be available to help cover shifts outside of your regular schedule as needed; while we aim for consistency, flexibility is important in a multi-location small business to support coverage for illness, vacations, and other team needs

Pay: $20.00 - $22.00 per hour
