Responsibilities
- Greet customers promptly and professionally at the front desk or via phone, providing courteous assistance with a positive attitude
- Sales Driven Attitude: Obtaining new clients and being a proactive in sales
- Manage multi-line phone systems to handle incoming calls efficiently, directing inquiries to the appropriate departments or personnel
- Utilize office management tools such as Microsoft Office, Google Workspace, and spreadsheets to document customer interactions and update records accurately
- Perform data entry tasks with high accuracy, maintaining detailed files and records for client interactions, appointments, and billing purposes
- Assist with clerical duties including filing, proofreading documents, and managing correspondence to support daily office operations
- Provide exceptional customer support by addressing questions, resolving issues promptly, and ensuring client satisfaction
- Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar software
Qualifications
- Proven experience in office administration, customer service, or related roles with strong clerical skills
- Proficiency with Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and productivity software
- Excellent computer literacy with the ability to quickly adapt to new technical tools and systems.
- Strong organizational skills with keen attention to detail for data entry, filing, and proofreading tasks
- Bilingual abilities are highly desirable to effectively communicate with diverse client bases
- Prior experience is a plus
- Exceptional phone etiquette combined with effective verbal communication skills
- Ability to multitask efficiently while managing time effectively in a fast-paced environment
