Position Summary:

The Housing Administrative and Supportive Services Coordinator provides centralized administrative and operational support across all Housing Department programs. This role ensures strength, consistency, compliance, and efficiency across the department by supporting cross-program operations, including Rapid Rehousing (RRH), Emergency Shelter, Permanent Supportive Housing (PSH), Property Management, and other services.

Key Responsibilities:

  • Provide centralized administrative and support across all housing programs.
  • Ensure consistency, efficiency, and compliance across departmental processes.
  • Support program coordination between housing, shelter, and property management teams.
  • Assist with rent calculation support as needed.
  • Coordinate inspection scheduling and vendor/service appointments.
  • Support grant reporting, documentation, and compliance requirements.
  • Assist with intake coordination, prescreening, and documentation collection.
  • Support data entry as needed across all housing programs.
  • Support maintaining participant files to ensure compliance with funder requirements.
  • Assist with audit preparation and file monitoring for all grants and funding sources.
  • Assist with move-in and move-out processes, including documentation packets and checklists.
  • Assist with service coordination across programs to promote housing stability.
  • Track service referrals, documentation, and outcomes in alignment with grant requirements.
  • Assist with donation intake, sorting, storage, and distribution processes.
  • Support donation distribution schedules for shelter residents and housing program participants.
  • Provide front desk coverage as needed.
  • Assist with processing applications, lease documents, and program eligibility paperwork.
  • Assist with preparation for audits, site visits, and reporting deadlines.
  • Assist with community outreach efforts, including promoting programs and services.
  • Support planning and coordination of resident events and community activities.
  • Help prepare materials, track attendance, and coordinate event logistics.
  • Perform other clerical duties as assigned.

Qualifications:

  • High school diploma or equivalent.
  • 3-5 years of administrative experience required; preferably in nonprofit, housing, or social services.
  • Strong organizational and time management skills.
  • Proficiency in Microsoft Office and data entry systems.
  • Ability to handle sensitive information with confidentiality.
  • Strong communication and interpersonal skills.
  • Valid driver’s license, reliable transportation, and proof of automobile insurance required.
  • Successful completion of: BCI and FBI background checks and pre-employment drug screening.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Frequent standing and walking within office, shelter, and housing environments.
  • Ability to lift and carry items up to approximately 20 pounds.
  • Occasional setup and breakdown of materials for meetings or community events.

Pay: $17.00 - $20.00 per hour
