Medicaid Technician
Purpose Statement
The job of Medicaid Technician is done for the purpose/s of coordinating Medicaid-related documentation and compliance efforts to ensure timely and accurate claiming and reporting for eligible services provided by the District. This position supports school personnel and district administration by maintaining records, assisting with audits, submitting required documentation, and ensuring compliance with all applicable state and federal regulations. The Medicaid Technician serves as a liaison between the District, and service providers to optimize reimbursement and support student health services.
This job reports to the Assistant Director of Finance.
Essential Functions
- Coordinates and submits Medicaid claims and required documentation in accordance with federal, state, and district policies.
- Reviews and verifies Medicaid service documentation submitted by service providers for accuracy and completeness.
- Supports staff training and communication efforts to ensure compliance with Medicaid documentation and billing procedures.
- Tracks service logs and Medicaid eligible activities, ensuring timely entry into required systems and databases.
- Monitors and maintains student Medicaid eligibility information in coordination with appropriate departments.
- Provides Support for Medicaid-related audits and ensures the availability of accurate records and documentation.
- Collaborates with service providers (e.g. speech, occupational therapy, nursing, psychology) to ensure appropriate documentation and reporting of services.
- Ensures accurate data entry in state and third-party Medicaid billing platforms.
- Prepares reports and summaries related to Medicaid revenue, claim status, and program compliance.
- Assists with communication between the District, AHCCCS (Arizona Health Care Cost Containment System), and Medicaid billing vendors.
- Maintains confidentiality of student records and sensitive information in compliance with HIPAA, FERPA, and district policy.
- Assists in coordinating training for service providers and administrative staff involved in Medicaid services and documentation.
- Performs regular audits of Medicaid-related data to identify potential issues and recommends corrective actions.
- Communicates with a variety of internal and external parties for the purpose of providing accurate Medicaid-related information and resolving issues.
- Assists other staff, site personnel and a variety of outside parties regarding procedures and/or program requirements for the purpose of providing support for completing items, identifying appropriate action and/or complying with established procedures.
- Compiles a variety of information, fixed assets and pertinent data related to work assignments in appropriate journals, ledgers, spreadsheets and computer systems for the purpose of providing required documentation and/or processing information.
- Maintains a variety of information, files and records for all programs accountable to the department for the purpose of ensuring the availability of documentation and compliance with established policies and regulatory guidelines.
- Participates in unit meetings, in-service training, workshops, etc. for the purpose of conveying and/or gathering information required to perform job functions and stay updated on department policy, procedures, and regulations.
- Prepares a variety of written materials and electronic information for the purpose of documenting activities, providing reference, conveying information, and complying with established financial, legal and/or administrative requirements.
- Serves as a resource to others for the purpose of explaining procedures conveying and/or receiving information as needed for the planning, developing and evaluating of services.
Other Functions
- Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
Job Requirements: Minimum Qualifications
Skills, Knowledge and Abilities
SKILLS are required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: Medicaid billing software, rules and regulations; operating standard office equipment including pertinent software applications; preparing and maintaining accurate records; and performing accounting procedures (word, excel, outlook, etc.).
KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and understand complex, multi-step written and oral instructions. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: billing practices; medicaid reimbursement, and computer skills; job-related codes/laws/rules/regulations/policies; recordkeeping and record retention practices.
ABILITY is required to schedule activities and/or meetings; collate data; and use basic, job-related equipment. Flexibility is required to work with others in a variety of circumstances; work with data utilizing defined but different processes; and operate equipment using defined methods. Responsibility
Responsibilities include: working under limited supervision following standardized practices and/or methods; providing information and/or advising others; supporting staff district-wide in Medicaid compliance and reporting; utilization of some resources from other work units is often required to perform the job's functions. There is some opportunity to impact the organization's services.
Working Environment
The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally the job requires 85% sitting, 5% walking, and 10% standing. This job is performed in a generally clean and healthy environment.
