Job Summary
We are seeking an organized and friendly Receptionist/Administrative Assistant to join our team. The ideal candidate will have a warm and welcoming demeanor, excellent communication skills, and the ability to multitask. The Receptionist/Administrative Assistant will be responsible for providing exceptional customer service, managing administrative tasks, and supporting office operations.
Duties
- Greet and welcome patients, guests, and colleagues, ensuring a positive and professional environment.
- Perform administrative duties, including answering phones, responding to emails, and handling mail and packages.
- Provide administrative support to the office, including scheduling appointments, preparing correspondence, and maintaining filing systems.
- Utilize computerized systems to track patient records, appointment schedules, and billing information.
- Assist with patient registration, verification, and insurance claims.
- Coordinate office supplies and equipment orders.
- Maintain a clean and organized office environment, including the waiting room and other common areas.
- Support the office team with various tasks, such as data entry, mailings, and special projects.
- Provide exceptional customer support and handle customer inquiries in a timely and professional manner.
- Develop and maintain a thorough understanding of our services and policies to effectively communicate with patients and colleagues.
- Maintain confidentiality and adhere to HIPAA guidelines.
- Utilize computer literacy skills to maintain accurate records and perform administrative tasks efficiently.
Requirements
- High school diploma or equivalent required.
- Strong organizational skills and the ability to prioritize tasks.
- Excellent communication and customer support skills.
- Proficiency in computerized systems and software.
- Ability to manage multiple tasks and projects simultaneously.
- Familiarity with office management and administrative procedures.
- Ability to work in a fast-paced environment and adapt to changing priorities.
- Strong time management skills and the ability to work independently.
- Knowledge of Spanish is a plus.
- Experience in a healthcare or medical office is preferred.
- Ability to maintain a professional and positive demeanor in a high-stress environment.
- Ability to work in a team-oriented environment.
