CLERK III

Status: Full-Time

FLSA: Non-Exempt

Salary: \$19.92 - \$21.99 Hourly

Union: M.S.E.A. Grade 5

Reports to: Sheriff and/or Designee

Job Summary

Class specifications are intended to present a descriptive list of the

range of duties performed by

employees in the class. Specifications are not intended to reflect all

duties performed within the

job.

To perform a wide variety of administrative support functions including

detailed knowledge in maintaining

program records systems and/or collecting information, preparing reports

as needed. Utilize office

equipment and/or computers to create, process, and maintain a variety of

documents and administrative

records. Provide direct customer service to the public and YCSO

visitors.

SUPERVISION RECEIVED AND EXERCISE

Reports directly to the Sheriff or his/her designee. There are no

supervisory responsibilities within this

position.

Essential Duties

1\. Receives office visitors and telephone calls while answering routine

inquiries and screening calls

for appropriate information.

2\. Takes messages and refers to appropriate YCSO staff.

3\. Sorts and files forms, reports, correspondence, and related

documents.

4\. Schedules appointments, for the public and/or vendors as

appropriate.

5\. Conducts basic research related to specific situations.

6\. Prepare documents for filing.

7\. Examine letters, forms, documents, or reports for accuracy and

reports discrepancies to supervisor

as needed.

8\. Maintains records and files for patrol division.

9\. Codes, tabulates, and assembles statistical and related data.

10\. Gathers, collates, classifies, and posts information to department

records and computer system.

11\. Collects fees, maintains fee collection records.

12\. Types, standard forms, letters and other material as requested by

the management team.

13\. Assists with data entry as needed into police computer systems.

14\. Operates office machines including but not limited to photocopiers,

fax, mail machine, etc.

15\. Pick-ups, receives, sorts departmental mail.

16\. Communicate effectively with co-workers, management, and the

public.

17\. Assist civil process as needed to ensure efficiency.

18\. Other duties as assigned by management team or designee.

Minimum Qualifications

Knowledge of:

1\. Clerical procedures and practices.

2\. Professional grammar and punctuation.

3\. Communication skills.

Ability To

1\. Research, locate, interpret, and apply recorded information.

2\. Prepare correspondence and maintain records.

3\. Make accurate mathematical calculations.

4\. To develop and maintain effective working relationships with

co-workers and the public.

5\. Communicate effectively both orally and in writing with attorneys.

6\. Operate common office machines.

7\. Safeguard confidential information.

8\. Perform duties independently.

9\. Learn and use ICON docketing system.

Education

High School graduate or equivalent required. Advanced education is

Preferred But Not Required.

NECESSARY SPECIAL REQUIREMENT

Must be 18 years of age or older.

Must successfully pass a pre-employment, including a fingerprint,

background check, and

reference check.

Must be able to provide proof us U.S. citizenship or legal right to work

in the United States.

EXPECTED HOURS OF WORK

A normal work schedule is required based on the needs of the office.

Overtime and evening hours are

limited.
