Position Summary 

The Bilingual Intake Coordinator supports mental health access for youth and families. This role is the first point of contact for individuals referred to mental health services through outpatient clinics, Community Resource Center (CRC), San Francisco Department of Public Health (SFDPH) school-based programs, Juvenile Probation, and Family Resource Centers (FRCs). The Intake Coordinator ensures that referrals are managed efficiently, clients are welcomed respectfully, and services are initiated promptly with attention to language access and cultural humility. 

 

Job Responsibilities 

Intake & Referral Coordination 

  • Serve as the primary intake contact for behavioral health referrals across multiple entry points, including YMCA clinics, SFDPH-funded EPSDT programs, CRCs, Probation, and FRC partners. 
  • Conduct intake interviews (in English and Spanish) by phone, in person, or virtually with caregivers, youth, and referring partners. 
  • Assess eligibility, collect required documentation, and ensure completion of intake packets and consent forms. 
  • Schedule initial clinical appointments and coordinate clinician assignments based on language, location, and specialization. 

 

 

Data Entry & Documentation 

  • Enter all intake and referral information accurately into the Electronic Health Record (EHR) system and case tracking databases. 
  • Maintain up-to-date referral logs and generate reports on intake status, timelines, and outcomes. 
  • Ensure compliance with HIPAA, Medi-Cal, EPSDT, and SFDPH documentation and privacy standards. 

Cross-Program Collaboration 

  • Maintain communication with program managers, clinicians, and clinical supervisors regarding caseload availability and priority placements. 
  • Collaborate with CRC and FRC teams to triage families in crisis and facilitate warm hand-offs to clinical services. 
  • Support school-based mental health teams by scheduling and tracking referrals from participating EPSDT school sites. 

Client Support & Equity-Driven Practice 

  • Provide culturally responsive and trauma-informed support to diverse families, including newcomer families and youth engaged with public systems. 
  • Respond to inquiries from parents, youth, and partners with empathy and professionalism while navigating sensitive topics such as trauma, behavioral health, and family systems. 
  • Translate intake forms and interpret during intake sessions as needed. 

 

Work Environment & Physical Demands 

This role operates in a hybrid setting with work performed remotely and onsite at YMCA clinics, school campuses, the Community Resource Center, and Family Resource Centers, in environments that may be fast paced and emotionally charged due to shifting intake needs, crisis situations, and ongoing interaction with youth, caregivers, partners, and interdisciplinary teams. Noise and activity levels vary by location, and occasional evening or weekend hours may be required for outreach or urgent referrals. All work must follow YMCA policies, HIPAA requirements, and applicable mental health program standards. 

 

Physical Demands 

  • Ability to sit for extended periods while conducting phone or virtual intakes, completing documentation, or entering data into EHR systems. 
  • Ability to stand, walk, and move between offices, school sites, and meeting spaces during onsite workdays. 
  • Occasional light lifting up to 20 pounds, such as carrying intake materials, laptops, or outreach supplies. 
  • Frequent use of computer, phone, and video conferencing platforms; must be able to type, read screens, and engage in verbal communication for prolonged periods. 
  • Ability to travel locally within San Francisco and San Mateo counties to support school-based programs, clinics, or partner agencies  
  • Must be able to maintain professional boundaries and respond calmly in emotionally charged situations, including working with families experiencing trauma, crisis, or system involvement.

Salary Description 

The salary for this position ranges from $29.00 to $31.00 per hour, based on experience, qualifications, and internal salary benchmarking. Compensation is aligned with grant funding approval and budget availability for the position as required.

Qualifications:

Qualifications 

Required 

  • Bilingual fluency in English and Spanish 
  • High School Diploma or GED  
  • 2 years of experience in a mental health, social service, school-based, or clinical setting 
  • Familiarity with Medi-Cal, EPSDT, and school-linked behavioral health systems 
  • Proficiency in Microsoft Office, Google Suite, and EHR platforms (e.g., ECM, EPIC, or similar) 
  • Demonstrated commitment to cultural humility, equity, and family-centered service 

 

Preferred 

  • Associate or Bachelor’s degree in psychology, social work, public health, or related field 
  • Experience working with SFDPH, Juvenile Probation, or public mental health systems 
  • Prior experience supporting clinical intake workflows and interdisciplinary care teams 
  • Familiarity with local resources in San Francisco and San Mateo counties
