Purpose and Impact:

Administrative & Program Support:

The Program Administrative Assistant provides day‑to‑day administrative support to ensure programs operate smoothly and efficiently. This includes data entry, filing, correspondence, calendar maintenance, and general program administration support, as well as assisting with special projects and additional duties as needed.

Customer Service & Communication:

This role serves as a key point of contact for staff, volunteer, members, parents, and participants by answering phones, responding to emails, and ensuring messages are communicated promptly. The Program Administrative Assistant supports a positive experience by maintaining clear, professional, and responsive communication across all interactions.

Financial & Data Management Support:
-
The Program Administrative Assistant supports accurate program operations by processing EFT and cash transactions, maintaining records, and assisting with timekeeping and payroll duties as needed. This role also provides database support and ensures proper registration and cash handling procedures are consistently followed.

Compliance, Organization & Continuous Improvement:

This position ensures compliance with established procedures, policies, and safety standards while maintaining organized files, records, and computer data. The Program Administrative Assistant identifies and helps resolve issues, suggests process improvements, and supports efficient operations within the department.

Minimum Qualifications:

Education & Certifications:

1-2 years of college preferred.

Experience:
-
1 year experience and proficiency in Microsoft Word, data entry skills, use of office machines, and organizational skills required. Prefer 1 year of experience using Microsoft Excel and Access or other relational databases.

Attend Adventure Guides or associated program events, trainings, campaign, and community events.

Support event preparation and coordination.
