Position Summary
We are seeking an experienced Medical Front Office Receptionist to join our growing healthcare team. This role is ideal for a candidate who has strong front office medical experience, enjoys patient interaction, and is comfortable providing limited clinical support when needed.
The primary focus of this role is front desk operations, insurance verification, and scheduling, with occasional assistance in taking vitals and supporting providers during venous and wound care–related procedures.
Key ResponsibilitiesFront Office & Patient Services
- Greet patients professionally and assist with check-in and check-out
- Collect and update patient demographic and insurance information
- Answer multi-line phones and respond to patient inquiries in a courteous and timely manner
- Schedule appointments, procedures, referrals, and follow-up visits
- Communicate appointment details, instructions, and reminders to patients
Insurance & Authorization
- Verify insurance eligibility and benefits
- Obtain pre-authorizations as needed
- Collect co-pays and outstanding patient balances
- Communicate clearly with patients regarding insurance coverage and financial responsibility
Scheduling & Coordination
- Coordinate scheduling with providers, hospitals, and outpatient facilities when applicable
- Assist with pre-op scheduling, testing coordination, and patient instructions as assigned
- Maintain accurate and up-to-date schedules in the EMR system
Light Clinical Support (As Needed)
- Obtain and document patient vital signs (blood pressure, pulse, temperature, weight, etc.)
- Prepare patients for venous and wound care–related procedures
- Assist providers during minor procedures related to venous care and wound treatment
- Clean and prepare exam rooms between patients and restock supplies as needed
- Follow infection control and safety protocols
Administrative & EMR Support
- Accurately document and scan records into the electronic medical record system (eCW)
- Maintain patient confidentiality and comply with HIPAA regulations
- Support general front desk administrative duties to ensure smooth daily operations
Team Collaboration
- Work closely with providers, medical assistants, and leadership to support efficient clinic flow
- Communicate effectively with team members to ensure a positive patient experience
Qualifications
- High school diploma or equivalent (required)
- Minimum of 2 years of front office experience in a medical office (required)
- Experience taking vitals and assisting with minor clinical procedures preferred
- Strong experience with insurance verification and appointment scheduling
- Familiarity with EMR systems (eCW experience preferred)
- Excellent customer service and communication skills
- Strong organizational skills and attention to detail
- Ability to multitask and work efficiently in a fast-paced environment
