What are the responsibilities and job description for the Billing Specialist position at Xplora Search Group?
Primary Responsibilities:
- Review, analyze, and process data related to inspection, repair, and service operations
- Accurately prepare service invoices and generate purchase order requests
- Oversee and manage monthly invoicing for inspection-related repairs
- Assist in compiling detailed cost breakdowns for labor, materials, and subcontractor services on invoices
- Partner with the Accounts Receivable team to support collections efforts, including providing revised invoices and necessary documentation
- Submit invoices to customers through direct channels or invoicing portals, as required
- Update and revise invoices with Service Manager approval, ensuring completion of the weekly revision log
- Export invoice data from ServiceTrade and import into Spectrum to ensure accurate AR reporting
- Provide high-quality customer service to a broad and diverse client base
- Perform general administrative and clerical support tasks
- Participate in cross-training initiatives across various administrative functions within the Service Department
Qualifications:
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred
- Minimum of 2 years of administrative experience
- At least 2 years of customer service experience
- Strong proficiency in Microsoft Office applications
- Excellent phone etiquette and interpersonal skills
- Strong verbal communication abilities
