ESSENTIAL FUNCTIONS
• Maintain a personnel structure and staffing level, by actively interviewing and hiring for the right skill set and fit, to accomplish the parts exchange, inventory control, parts counter, expediting, shuttle trucks and warehouse, as applicable, in an effective and efficient manner.
• Hiring and placement to include interviews, training, cross training and scheduling.
• Handle personnel issues as they arise such as annual performance reviews, disciplinary actions, rate/position changes and other supervisory tasks as required which includes development of people through continued education, employee involvement, motivation, increased responsibility and ergonomics.
• Evaluate and promote job standards.
• Maintain and build Caterpillar relationships.
• Manage inventory, delivery, new parts and parts pricing.
• Maintain appropriate equipment and racking to ensure performance, safety, reliability and cost.
• Monitor the flow of paperwork from Receiving to Inventory Control for timely data entry.
• Plan and coordinate work.
• Ensure the ability to safely operate material handling equipment for movement of materials to and from storage configurations.
• Determine need and coordinate actions required to maintain standards of efficiency, quality and safety in the Parts Department.
• Appropriate housekeeping of the warehouse, storage and equipment.
• Ensure materials are staged for counting and inspection.
• Ensure receiving reports accurately report material received and resolve any discrepancies with Accounting regarding invoices, packing slip and receiver reports.
• Communicate with supplier, primarily Caterpillar, on deliveries, problems, availability, and shipping issues.
• Actively work with Service Manager, Supervisors and/or Field Supervisors, to ensure that parts are being delivered and maintained through service needs. Review monthly contract, service exchange work orders and all other parts fabrication work orders with Service Supervisor.
ADDITIONAL FUNCTIONS
• Position will adhere to established standards, policies and practices relating to quality, work execution, safety, and MSHA/OSHA regulations while performing assigned duties.
• Provide information to customers as requested, including invoice clarification, shipping discrepancies, ship date, delivery schedules, returns, quotes, manufactured related information and anything introduced by a customer call.
• Develop and recommend annual budget requirements for the Warehouse and Receiving Department.
• Anticipate and request funding for future personnel requirements & material handling equipment.
• Notification to the IT department of DBS/system issues, communication with Caterpillar, and managing upgrades, fixes and new version applications.
• Respond to safety and customer issues on demand.
• Travel, may include some overnight(s).
• Perform other duties as assigned.
QUALIFICATIONS/KNOWLEDGE/SKILL/ABILITY
• Associates Degree in business or equivalent combination of education and experience.
• Minimum of two (2) years’ supervisory experience.
• Knowledge of sales, customer relations, business math and inventory control.
• Able to read, write, speak and understand English.
• Good human relations skills are required to develop a cooperative work relationship with all employees and customers, including those inside and outside the department.
• Able to communicate and write in a professional manner.
PREFERRED
• Four (4) year college degree in business.
• Minimum of three (3) years’ experience with inventory control and warehousing operations.
• Accounting and Caterpillar dealer operations experience.
PHYSICAL/ENVIRONMENTAL REQUIREMENTS
• Material and equipment directly used: PC and/or laptop computer. calculator, copy machine, microfiche viewer, fax, telephone and overhead viewer.
• Prolonged walking, sitting and standing.
• Use of hands for grasping, pushing, pulling and fine manipulation.
• Use of all necessary personal protective equipment.
• View computer screens for extended periods.
• Operate a company vehicle requiring a valid driver’s license (driving record must meet company insurance standards and is reviewed annually).
