Position Summary
The Admissions Coordinator will be responsible for managing the admissions process for prospective students seeking enrollment in WOT’s affiliated schools. They will play a crucial role in attracting, engaging, and guiding prospective students and their families through the admissions process, ensuring a smooth transition from application to enrollment. This role requires meticulous attention to detail, exceptional organizational skills, excellent communication abilities, and a passion for fostering positive relationships with students and families. The Admissions Coordinator will serve as a point of contact for inquiries, processes applications, and maintains accurate records to facilitate the admissions process. The Admissions Coordinator is instrumental in ensuring data input accuracy and related reporting.
Key Responsibilities:
Enrollment Activities
- Support organization and clients by attending community service and outreach activities throughout the year.
- Support recruitment, retention, marketing, and building community relationships by participating in outreach programs and marketing strategies, including community workshops, retreats, and related recruitment efforts and visiting the communities where the client’s customers reside.
- Collect and review student applications, transcripts and supporting enrollment documents and evaluate compliance with enrollment policy.
- Model excellent customer service by providing guidance and support to prospective students and families throughout the admissions process, addressing questions, concerns, and providing information about the school's programs and offerings.
- Manage cumulative files, including; requesting, creating and document the receipt of cumulative folders.
- Manage the extended client services (i.e., childcare and transportation services) for new customers.
- Maintain up-to-date client files with all required documents as instructed by Administration
- Collaborate with school administrators, faculty, and staff to ensure a seamless transition for admitted students, facilitating communication and coordination across departments.
- Provide and improve customer satisfaction and customer service to internal and external customers
- Follow up on customer requests as necessary
- Conduct follow-up calls as directed/needed
- Assist customers throughout the enrollment process
- Provide online enrollment information to prospective customers
- Establish relationships with new customers
- Provide on site support to clients during peak seasons by hosting orientation
Data Input and Maintenance
- Maintain accurate and up-to-date records of all prospective and admitted students, including application materials, communications, and enrollment status.
- Collect, input, update, and maintain customer data into client systems (i.e., Power School, Focus and Winspo).
- Support customers requests for Social Security and Proof of Enrollment and Driver’s License Forms
- Ensure efficient, timely, and accurate data input.
- Perform general office duties as requested by management.
- Perform other duties as assigned.
- Maintain CRM
Minimum Qualifications
Requirements
- High School Diploma or equivalent
- Minimum of 2 years of experience in using data processing software applications, procedures, and database management experience, or the equivalent in appropriate college or technical school data processing courses
- Excellent communication skills, both verbal and written, with the ability to interact professionally with diverse audiences.
- Knowledge of applicable computer software and hardware process applications such as spreadsheets, word-processing, database and operating systems, and/or presentation software, internet computer hardware, on-line searches
- Knowledge of general management and operational practices, procedures, responsibilities, and information systems
- Knowledge of search engines, electronic marketing and surveying programs
- Excellent written and verbal communication skills
- Background check and fingerprinting clearance
- Knowledge and ability to operate standard office equipment
- Willing to work flexible hours as needed
- Valid Florida driver's license, reliable transportation, and valid automobile insurance

Working Conditions
EnvironmentRequires working indoors in an environmentally controlled office setting. Requires sitting for the majority of the day. This is a 12 month non-exempt position. This position may require travel. This is a 12 month hourly position. This position will require travel to all school campuses and sites affiliated with WOT
Physical Requirements
Generally, the job requires 60% sitting, 20% walking and 20% standing. Hearing and speaking to exchange information; seeing to read, prepare, and proofread documents; sitting for extended periods of time; dexterity of hands and fingers to operate office equipment; kneeling, bending at the waist, and reaching overhead, above the shoulders and horizontally, to retrieve and store files and supplies; lifting light objects. The ability to lift, carry, move and/or position objects infrequently weighing no more than 20 pounds.
