Job Summary
World Ice Arena in Queens is seeking a highly organized and detail-oriented Administrative Assistant to support daily administrative and operational functions. This role is responsible for ensuring smooth office operations, supervising office staff, maintaining digital systems and compliance records, and supporting financial and back-of-house processes. The ideal candidate is proactive, self starter tech-savvy, and an effective problem solver.
Key Responsibilities
- Assist in managing daily office operations to ensure efficiency and accuracy
- Supervise and support office staff, including scheduling and task coordination
- Maintain and update digital systems, databases, and back-of-house administrative platforms
- Perform cash control duties, including cash handling, reconciliation, and reporting
- Support troubleshooting and problem-solving for administrative, system, and operational issues
- Oversee inventory management, including tracking supplies and placing supply orders
- Maintain compliance records, licenses, and required documentation in accordance with local and organizational regulations
- Prepare reports, correspondence, and documentation using Microsoft Word and Excel
- Coordinate with management on operational improvements and workflow optimization
- Ensure confidentiality, accuracy, and organization of all office records and systems
Qualifications & Skills
- Proven experience in an office management or administrative support role
- Proficiency in Microsoft Word and Excel
- Strong troubleshooting and problem-solving abilities
- Experience with cash handling and cash control procedures
- Ability to supervise staff and manage multiple priorities
- Knowledge of inventory control and supply ordering
- Experience maintaining digital systems and compliance records
- Strong organizational, communication, and time-management skills
- Ability to work independently and as part of a team
Preferred Qualifications
- Experience in a sports, recreation, or facility management environment
- Familiarity with back-of-house systems and administrative software
- Knowledge of local compliance and record-keeping standards
