Real Estate Assistant – Portland, OR
Job Summary
I’m seeking a detail-oriented, proactive Real Estate Assistant to support myself as a top producing real estate agent in Portland, Oregon. Ideal for someone who thrives in a fast-paced environment, is tech-savvy, well-organized, and dedicated to client service. You will assist with all aspects of transaction coordination, marketing, client care, and day-to-day operations to help grow the business and deliver a top-tier experience. This position would obtain per traction bonuses and EOY bonuses based on performance.
Key Responsibilities
🏡 Transaction & Client Support:
- Perform high-level support for the agent across tasks and client needs.
- Conduct property searches, compile listings, send them to clients, and coordinate property showings.
- Schedule and attend inspections, collect bids, attend appraisals, walk-throughs, and related appointments.
- Monitor transaction timelines and deadlines, including contingencies, financing, and closing dates.
- Assist with follow-ups on warm and old leads via Follow Up Boss (FUB), including lead nurturing and drip campaigns.
- Draft and submit offers, repair addendums, counteroffers, and ensure accuracy in documentation.
- Coordinate with clients, lenders, title companies, and vendors for smooth transaction flow.
📈 Marketing & Client Engagement:
- Send thank-you cards, anniversary cards, and maintain client relationships.
- Help plan, execute, and manage client events and appreciation parties.
- Create weekly social media content (minimum one post per week) and handle flyers for mailers and open houses.
⚙️ Systems, Tools & Administration:
- Use Follow Up Boss for CRM tasks: entering data, tracking leads, and activity workflows.
- Share calendar schedules, manage appointments, block time, and send reminders.
- Ensure files are updated in compliance with Oregon Real Estate Commission rules and document retention standards.
- Maintain local databases (contractors, inspectors, lenders, referral partners).
Qualifications
Required:
- Active real estate license in Oregon; Washington license a plus.
- Must possess current drivers license and a vehicle.
- Experience with transaction coordination or real estate support (agency or brokerage environment).
- Knowledge of local regulations and Oregon Real Estate Commission transaction requirements.
- Proficiency with CRM systems (especially Follow Up Boss), calendar tools, email, and Microsoft Office or Google Workspace.
- Excellent written and verbal communication skills.
- Organized, detail‑oriented, able to manage multiple tasks and timelines simultaneously.
- Professional demeanor with strong interpersonal skills for client care and referral partner outreach.
Preferred:
- Background in Marketing or Outside Sales.
- Experience creating marketing collateral and managing social media accounts.
Working Conditions
- Primarily in-person work based in Portland with occasional work-from-home flexibility.
- Must be available for weekend showings, open houses, and client events as needed.
Salary : $50,000 - $70,000
