Overview
Word of Faith Family Worship Cathedral is seeking a full‑time Executive Assistant to provide high‑level administrative, logistical, and volunteer coordination support to the Youth Pastor—ensuring weekly services, events, conferences, retreats, and ministry initiatives are executed with excellence, organization, and spiritual intentionality.
Key Responsibilities
Event & Service Management
- Lead planning and execution for all IGNITE services, bible studies, monthly activities, conferences, retreats, roundtables, and special events.
- Create and manage project plans in Asana, including tasks, timelines, and due dates.
- Develop event checklists, run‑of‑show documents, agendas, and registration systems.
- Oversee event logistics: room setup, equipment, seating, supplies, transportation, and registration.
- Ensure smooth execution of all services and events, including on‑site leadership and troubleshooting.
Sunday Responsibilities
- Arrive by 9:45 AM to open and prepare the facility.
- Coordinate chapel setup with the Facilities Team (chairs, tables, signage, lighting, pulpit, snack stations, games, etc.).
- Ensure moderators, greeters, and volunteers are prepared and in place.
- Coordinate with the AV team regarding order of service, sermon files, and transitions.
- Oversee service flow on Sundays.
Volunteer Coordination
- Recruit, train, schedule, and support all youth ministry volunteers.
- Maintain volunteer confirmations, communication, and attendance.
Administrative Support
- Attend weekly planning calls and provide progress updates.
- Participate in quarterly feedback and review meetings.
- Maintain organized documentation, files, and ministry information.
Skills & Qualifications
- Strong organizational and time‑management skills with exceptional attention to detail.
- Proficient in Canva, Asana, OneDrive, Planning Center, Microsoft Word, PowerPoint, and Excel.
- Comfortable with GroupMe, social media (Instagram, TikTok), and basic AV tasks.
- Excellent written and verbal communication skills.
- Ability to multitask, adapt to shifting priorities, and meet deadlines.
- Dependable, team‑oriented, and able to work independently.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Previous administrative, communications, or ministry experience preferred, but not required.
Pay: $45,000.00 - $55,000.00 per year
