We are seeking a mature, highly experienced Executive Assistant to serve as the primary support to our Lead Pastor.

Position Overview

This position serves as the Lead Pastor’s strategic right hand, stewarding his time, focus, preparation, and overall leadership effectiveness. The Executive Assistant ensures the Lead Pastor is fully prepared for every meeting and engagement, protects his focus from unnecessary distractions, and helps maintain alignment with organizational priorities.

We are seeking a seasoned, proactive, and highly discerning professional who anticipates needs before they are expressed. This individual will help establish and maintain structured preparation rhythms, including consistent weekly 1:1 meetings, briefing materials, and clear follow-through and support on key initiatives.

This role requires executive presence, emotional intelligence, maturity, and the confidence to “manage up,” including the ability to hold appropriate boundaries around time, priorities, and preparation. The person in this role must be comfortable bringing clarity, structure, and accountability to a fast-moving and evolving leadership environment.

As the only dedicated support person working directly in the Lead Pastor’s office, this position requires both high-level strategic thinking and detailed administrative execution. The ideal candidate understands that effective executive support means operating as a thought partner while also ensuring the daily operational responsibilities of the office are handled with precision and excellence.

The strongest candidates will have previously supported C-suite executives, senior leaders, founders, or pastors in complex and fast-paced environments. They may also be seasoned professionals with strong operational instincts and organizational leadership experience.

Scope of Support

This role requires both strategic partnership and hands-on execution.

While this position operates at a high level of leadership support, it also includes detailed administrative responsibilities. The ideal candidate understands that excellence at Impact Church means stewarding both large initiatives and small details with equal care.

This position includes meeting preparation, presentation creation, expense management, light project management, and coordination of ministry-related engagements, alongside strategic research and preparation that equips the Lead Pastor for key meetings, decisions, and initiatives.

Key Responsibilities

Strategic Leadership Support

  • Proactively prepare the Lead Pastor for all meetings (internal and external), including background research, briefing summaries, talking points, and deliverable management.
  • Maintain a structured weekly 1:1 meeting rhythm to ensure consistent preparation and alignment.
  • Anticipate upcoming deadlines, decision points, and relational dynamics.
  • Track strategic initiatives and ensure accountability for deliverables.
  • Serve as a trusted thought partner to the Lead Pastor in planning, prioritization, and decision preparation.

Calendar & Time Stewardship

  • Manage and strategically prioritize the Lead Pastor’s calendar.
  • Evaluate meeting requests against organizational priorities.
  • Protect preparation time and ensure readiness for all engagements.
  • Coordinate travel arrangements aligned with preferences and ministry needs.

Office Operations & Administrative Execution

  • Draft, edit, and send communications on behalf of the Lead Pastor.
  • Develop and maintain spreadsheets, tracking documents, reports, and dashboards.
  • Organize and maintain confidential files and documentation systems.
  • Track expenses and assist with documentation related to budget oversight.
  • Prepare presentations, documents, and meeting materials for leadership gatherings.
  • Coordinate counseling appointments and scheduling, weddings, special services, and ministry-related engagements.
  • Ensure follow-through on delegated tasks and maintain accountability tracking.

Systems & Process Improvement

  • Identify inefficiencies in the Lead Pastor’s office workflows, meeting preparation processes, and coordination of priorities, and recommend structural improvements.
  • Build systems and workflows that bring structure to meeting preparation, scheduling, and information flow, reducing decision fatigue and increasing clarity.
  • Maintain organized digital and physical systems within the Lead Pastor’s office.
  • Sunday & Event Support
  • Support Sunday preparation as needed.
  • Assist with major church events, conferences, and leadership gatherings.
  • Serve as an ambassador of Impact Church’s culture of excellence and hospitality.

Qualifications & Attributes

Required Qualifications

  • Minimum 7 years supporting senior executives, pastors, founders, or organizational leaders.
  • Demonstrated experience in strategic executive support.
  • Strong research, analytical, and briefing preparation skills.
  • Exceptional calendar and priority management ability.
  • High emotional intelligence and relational discernment.
  • Strong written and verbal communication skills.
  • Advanced organizational and systems-building capability.
  • Proven ability to manage confidential information with discretion.
  • Proficiency with Apple products, Google Workspace, Microsoft Office, and Zoom.
  • Ability to work independently and manage multiple priorities with minimal supervision.

Preferred Qualifications

  • Experience working in ministry or faith-based organizations.
  • Experience supporting visionary founders or senior leaders.
  • Bachelor’s degree preferred but not required.
  • Experience building executive dashboards or operational tracking systems.

Schedule Expectations

  • Monday - Friday: 9:00 am - 5:00 pm (in person)
  • Sundays and occasional evenings as required for church activities
  • Some weekend or special event support as needed
