What are the responsibilities and job description for the Medical Front Desk Coordinator position at Woodstown Physical Therapy and Sports Rehab?
Woodstown Physical Therapy
$18.00–$21.00 per hour | Full-time | In-person
At Woodstown Physical Therapy, we are committed to providing exceptional patient care in a friendly, professional, and team-oriented environment.
We are looking for a reliable, organized, detail-oriented Medical Front Desk Coordinator who enjoys helping people and takes pride in keeping things accurate, organized, and running smoothly.
About the Position
The front desk is the hub of our practice and plays an important role in both the patient experience and the daily operation of the clinic.
This is a busy, active position that requires strong organization, attention to detail, and the ability to manage multiple priorities at once.
During a typical day, you may be checking in a patient, answering a phone call, scheduling an appointment, collecting a payment, updating insurance information, entering information into the computer, and responding to a request from the clinical team—all within a short period of time.
The ideal candidate is someone who can stay calm when things get busy, prioritize what needs to happen next, follow through on responsibilities, and maintain accuracy even when interrupted.
Once trained, we are looking for someone who can work independently, recognize what needs to be done, and follow through without needing constant reminders.
What You'll Be Responsible For
- Greet patients and visitors in a warm, professional, and welcoming manner
- Answer and manage multi-line phone calls while assisting patients in person
- Schedule, confirm, reschedule, and coordinate patient appointments
- Register new patients and accurately enter information into our electronic medical record (EMR) system
- Verify and update patient demographic and insurance information
- Collect co-pays, deductibles, and other patient payments accurately
- Check patients in and out efficiently
- Respond to patient questions regarding appointments, services, and office procedures
- Communicate effectively with physical therapists and other members of the clinical team
- Monitor provider schedules and help keep the clinic running efficiently
- Keep track of multiple tasks and follow through to completion
- Maintain accurate patient records and front-desk documentation
- Complete daily administrative and clerical responsibilities
- Help identify and resolve issues before they become larger problems
- Assist with additional office responsibilities as needed
What We Are Looking For
The right person for this position is:
- Highly organized and detail-oriented
- Reliable, dependable, and punctual
- Comfortable working in a busy environment
- Able to manage multiple priorities and frequent interruptions
- Able to stay calm and professional when the pace increases
- A strong communicator who enjoys working with people
- Comfortable learning and consistently following office procedures
- Able to work independently once properly trained
- Someone who takes ownership of their responsibilities
- Someone who follows through without needing frequent reminders
- Comfortable using computers and learning new software
- Professional, compassionate, and patient-focused
- A positive team member who is willing to help wherever needed
This Is a Good Fit If You...
- Enjoy being busy and having a variety of responsibilities throughout the day.
- Take pride in keeping things organized and accurate.
- Naturally make lists, double-check your work, and keep track of things that need to be completed.
- Can handle interruptions without losing track of what you were doing.
- Are comfortable prioritizing when several things need your attention at the same time.
- Like helping people and can remain friendly and professional even during a hectic moment.
- Take responsibility for your work and don't need someone constantly checking to make sure tasks are completed.
