Overview
We are a privately owned small animal hospital offering routine care and surgeries to cats and dogs of Midcoast Maine. Currently seeking full Client Care Coordinator/Receptionist. We are open Monday through Friday 8am-5pm.
This position requires strong customer service skills, general working knowledge of veterinary practices and must love working with clients as much as working with their pets. Seeking a candidate that is upbeat and dependable, has excellent communication and computer skills and the ability to multitask in a fast paced environment while still paying close attention to detail.
Job duties include but are not limited to answering phones, scheduling appointments, creating estimates, managing financial records, filing medications, summarizing medical records, taking patient histories, handling animals, lifting upto 50 pounds and maintaining a clean and friendly environment.
Candidates should have adequate computer knowledge to manage electronic medical records and be able to provide basic client education about medications, preventatives and procedures. Must encompass strong communication skills while working with clients and staff to provide efficient flow of patient care.
Previous customer service or veterinary experience preferred. Pay will be based on experience. Willing to train the right individual who is passionate to work with a team that is enthusiastic about making a positive impact on pet’s and their owners lives.

Responsibilities
- Greet visitors and clients warmly, ensuring a positive first impression of the organization.
- Operate multi-line phone systems efficiently, directing calls accurately and professionally.
- Manage front desk activities including scheduling appointments, handling inquiries, and maintaining visitor logs.
- Perform data entry tasks with high accuracy using veterinary software
- Maintain organized filing systems and manage correspondence through email and postal services.
- Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping.
- Provide exceptional customer support by addressing inquiries promptly and courteously while maintaining confidentiality.
- Assist with clerical duties including proofreading documents, preparing reports, and managing office supplies inventory.
- Demonstrate excellent phone etiquette and professional communication skills in all interactions.
- Support personal assistant functions such as managing schedules, coordinating meetings, and handling administrative errands as needed.
