Position Summary
The Operations Director provides comprehensive support in accounting, financial management, board administration, and organizational operations. This role ensures the accurate management of financial data, compliance with regulatory requirements, and effective coordination with staff, vendors, and the Board of Directors. The Operations Director plays a key role in maintaining organizational efficiency, supporting development efforts, and strengthening internal systems.
Key Responsibilities
Accounting & Financial Support
- Enter debits and revenues into QuickBooks and run periodic financial reports.
- Provide accurate information to the outside accounting firm for monthly financial reporting.
- Process accounts payable and accounts receivable transactions.
- Manage vendor invoices, pay invoices, and accept ACH payments through the Single Point System.
- Prepare and process bank deposits in conjunction with the CFO.
- Assist in the preparation of budgets and financial reports.
- Track and reconcile all bank statements.
- Collect and electronically store all credit card receipts with corresponding statements.
- Organize financial data into usable information and maintain updated records.
- Assist with audits and year-end financial reporting.
- Oversee payroll processing, employee records, and payroll tax filings (in collaboration with payroll service provider).
- Communicate with vendors, clients, and internal staff to resolve financial discrepancies.
- Develop and maintain the donor database; assist in planned giving strategies.
- Support marketing efforts aimed at increasing funding opportunities.
Board & Administrative Support
- Perform administrative tasks such as data entry, word processing, and filing.
- Ensure compliance with internal procedures and regulatory requirements.
- Serve as primary liaison to the Board’s Executive Committee.
- Collect agendas, reports, and committee updates for inclusion in board packets; compile and distribute packets one week prior to board meetings.
- Coordinate with the Board President and Secretary to schedule meetings and send calendar invitations and reminders.
- Attend and transcribe minutes for the monthly Business and Finance Committee and other assigned committees.
- Track electronic board votes and prepare official documentation of board actions.
- Perform additional tasks as assigned by the Executive Director, CFO, and Board President.
Qualifications
- Bachelor’s degree in accounting, finance, business administration, or related field (preferred).
- 3–5 years of experience in accounting, operations, or nonprofit administration.
- Proficiency with QuickBooks and Microsoft Office Suite (Excel, Word, Outlook).
- Strong organizational skills with excellent attention to detail.
- Ability to manage multiple priorities and meet deadlines.
- Strong communication and interpersonal skills; able to work effectively with staff, vendors, and board members.
- Experience with donor databases and/or fundraising support preferred.
Job Type: Part-time
Pay: From $25.00 per hour
Expected hours: No more than 10 per week
