Position Description:
The Office Assistant position is a temporary, part-time, non-exempt position with the possibility of extension. The Office Assistant provides a range of clerical and administrative tasks to support daily operations in the office. Job duties include but are not limited to greeting office visitors and directing them to employees, clerical and administrative support to other employees working in the office, handling incoming communications, managing files, updates paperwork and other documents, sorting and distributing mail throughout the office, and performs other general office clerk duties. The Office Assistant works in collaboration with all Programs and reports to the Program Manager.
Communication
- Interact with managers, staff, clients, vendors and other visitorswith efficiency, patience and culturally competent.
- Greeting clients and other visitors with a positive and professional attitude and direct them to appropriate offices/employees.
- Answer multi-line phone calls and direct calls as required.
- Represent PREVAIL to engage the community and maintain positive relationships with partners and funders, as appropriate.
Office Organization
- Organize and maintain office common areas including, but not limited to, monitoring the level of supplies for the front office, breakroom and reception area. Ensure neat and clean front office area, maintaining files, and managing calendars.
Administrative
- Perform administrative tasks, as necessary, to support both program operations and role responsibilities.
- Receive and maintain the organization of client referrals, clients from other departments or partner agencies and disseminate, as appropriate.
- Develop and manage the office files and records. This includes monitoring files being pulled/returned by program and administrative staff and overseeing the storage and/or destruction of files per agency policy.
- Copying, scanning, faxing and typing documents and letters as requested.
- Responsible for data entry as assigned.
- Monitor incoming faxes and mail and distribute it to appropriate person, compile outgoing mail and involve messengers for mail distribution to external agencies.
- Ensure effective day-to-day program and service operations, including, but not limited to, implementation of protocols, policies, procedures, and evaluations.

Education and Experience:
- Associates degree in related field and one year of related experience OR two years of relevant experience with demonstrated progress of success.
- Fingerprint clearance is required.
- Reliable transportation, valid California Driver’s License, and proof of insurance.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift 25 at times.
- Must be able to ascend and descend up to three flights of stairs throughout a typical workday.

PREVAIL is a highly established nonprofit organization funded by a variety of federal, state, and local government agencies, foundation grants and individual supporters. The continuation of programs, and therefore employment positions, may be contingent upon continued receipt of these or alternative funding sources.
Pay: $18.70 - $23.38 per hour
