Essential Duties and Responsibilities
Client Intake & Scheduling
- Serve as the primary point of contact for prospective and existing clients.
- Answer incoming calls and respond to client inquiries regarding services, scheduling, insurance coverage, and office procedures.
- Schedule initial consultations and ongoing therapy appointments.
- Match clients with appropriate therapists based on presenting concerns, age group, and service needs.
- Assist clients through the intake process and ensure all required forms are completed accurately.
Client Relations & Customer Service
- Greet clients and visitors in a professional, welcoming, and supportive manner.
- Create a positive first impression for individuals seeking mental health services.
- Maintain sensitivity and professionalism when interacting with clients experiencing emotional distress, anxiety, crisis situations, or family challenges.
- Provide information regarding MCC services, including:
- Individual counseling
- Child and adolescent therapy
- Adult counseling
- Couples counseling
- Family therapy
- Assessment and referral services
Insurance & Administrative Support
- Verify insurance eligibility and benefits.
- Obtain and update client demographic and insurance information.
- Assist with authorizations, referrals, and required documentation.
- Collect copays and process payments as applicable.
- Maintain accurate client records within electronic health record (EHR) systems.
- Scan, upload, and organize documentation.
Office Operations
- Manage provider calendars and appointment availability.
- Confirm appointments and follow up on cancellations and no-shows.
- Maintain office supplies and reception area organization.
- Process incoming mail, faxes, and electronic communications.
- Assist therapists and management with administrative projects as assigned.
Confidentiality & Compliance
- Maintain strict adherence to HIPAA and confidentiality standards.
- Follow organizational policies, ethical standards, and professional boundaries.
- Report concerns appropriately according to agency procedures.
Required
- High School Diploma or GED.
- Minimum one (1) year of customer service, administrative, receptionist, healthcare, or behavioral health experience.
- Strong verbal and written communication skills.
- Proficiency with Microsoft Office (Word, Outlook, Excel).
- Ability to manage multiple priorities in a fast-paced environment.
- Strong organizational and problem-solving skills.
Preferred
- Associate's Degree in Business Administration, Healthcare Administration, Psychology, Social Work, or related field.
- Experience working in a counseling, healthcare, behavioral health, or social services setting.
- Experience with Electronic Health Records (EHR/EMR).
- Knowledge of insurance verification and behavioral health billing procedures.
Familiarity with HIPAA requirements
