Position Summary
Wolf Line Construction is looking for a dedicated Executive Assistant to work closely with the Executive Team in our North Charleston office. As we continue our rapid growth in the fiber optic and energized space industries, this role serves as the critical organizational hub for our leadership team. You will provide high-level administrative support to the CEO, COO, and Directors of Human Capital and Finance, ensuring the seamless execution of our nationwide projects.
Key Responsibilities:
Executive Communication & "Personal Touch"
- Manage and monitor email and other correspondence for the CEO and Director of Human Capital, ensuring critical organizational activities are prioritized.
- Maintain and mail personal notes and birthday cards to build and support business goals and key relationships.
- Develop and maintain electronic filing systems and records management for the Management Team in accordance with strict Confidentiality Policies.
- Manage the details of highly confidential and critical company projects with absolute discretion.
Logistics & Event Coordination
- Arrange all travel, accommodations, and detailed itineraries for the C-Suite and Directors, ensuring all arrangements meet specific executive preferences.
- Manage the logistics for industry trade shows, including arranging booth space and coordinating team travel.
- Research and book dinner reservations and hospitality for quarterly meetings, training events, and partner meetings.
Calendar & Meeting Management
- Proactively manage the CEO’s schedule, anticipating needs and prioritizing customer and partner meetings to maximize time efficiency.
- Plan and organize meeting venues, ensuring appropriate facilities and technology are ready for monthly and quarterly leadership meetings.
- Schedule meetings, prepare necessary reports/data, take meeting minutes, and rigorously follow up on action items.
- Provide coordination and planning support to the Management Team’s direct reports to resolve conflicting commitments.
Qualifications:
- 3 to 5 years of prior experience in mid-to-senior level administration or business management.
- Proven ability to work independently without supervision, displaying ingenuity in anticipating and handling complex situations.
- Must be comfortable in a fast-paced construction environment with multiple tasks and projects at hand.
- Advanced Microsoft Suite experience, particularly in spreadsheet preparation and tracking.
- Excellent written and verbal communication skills; ability to interact with executive management in a professional and timely manner.
- Bachelor’s degree in business administration or a related field preferred.
