The Academic Administrative Assistant & Coordinator is responsible for providing clerical, administrative, budget and project support for the School of Science, Technology and the Natural World. The school includes the programs of Biochemistry & Molecular Biology, Biology, Chemistry, Computer Science, Data Science, Environmental Science, Information Systems, Mathematics, Neuroscience, Physics, Psychology, Marine Science and Statistics. This person maintains a current knowledge of appropriate university and academic policies, processes and procedures in an effort to assure the efficiency and integrity of the school. This is a full-time, 12-month, non-exempt position, working approximately 40 hours per week. This position reports primarily to the Dean of the School of Science, Technology, and the Natural World, with concurrent reporting to the Executive Assistant to the Provost.
The School of Science, Technology and the Natural World at Wittenberg University is currently accepting applications for an Academic Administrative Assistant & Coordinator. This is a 12 month hourly,40-hour work week, non-exempt support staff position.
Essential Duties of the Position include:
1. Provide administrative support to assigned school and associated functions as requested (including but not limited to related events, functions, programs, meetings, etc.)
2. Communicate regularly and coordinate with the Executive Assistant on development and maintenance of standard operating procedures, work instructions, and other initiatives related to continuous improvement and efficiency.
3. Organize, maintain and manage office files, bulletin boards, incoming and outgoing correspondence, scanning and photocopying, ordering office supplies and equipment, catalogs, calendars, travel schedules and accounts, mail, and other related tasks associated with each program
4. Assist with coordination of faculty recruitment, promotion, and tenure related activities as needed by school and programs served
5. Assist with course related activities to include but not limited to scheduling, descriptions, capstone assessments, examinations and handouts, textbook orders, preparation of materials, etc.
6. Coordinate and support maintenance of related budgets, purchasing cards and applicable reports for assigned school
7. Serve as liaison with internal and external agencies
8. Assist the Dean/Program Coordinators in recruitment of prospective students (coordinate program communications, produce and distribute marketing materials, maintain applicable webpages and social media accounts, coordinate student visits and recruitment events with the Office of Admission)
9. Make arrangements for meetings and special functions including meals, refreshments, and facility support
10. Maintain applicable alumni records, graduate school information, internship information, and other data related to assigned programs and associated functions
11. Assist students with graduation requirements
12. Welcome visitors and assist with needs
13. Assist new faculty in on-boarding process
14. Hire, train, and supervise student workers as designated to the school
15. Serve as a building ambassador and maintain relationships with leaders in facilities - help provide communication links / liaison between the physical plant and building occupants
Job Requirements:
Associate's degree required as well as 1-3 years of relevant experience. Bachelor's Degree is preferred
Additionally, we are looking for applicants who have:
- Ability to effectively use MS Office programs (Word, Excel, PowerPoint, Outlook), internet functions, with ability to use other additional software as needed.
- Familiarity with social media.
- Organizational skills with the ability to manage multiple task and priorities.
- Ability to manage time and operate independently and collaboratively to fulfill job functions and to coordinate with other office assistants for shared duties.

Work primarily occurs in an office setting but may also require participation at meetings and events across campus.
