A Wiss Client is seeking an Executive Assistant to join their team. This role is responsible for managing schedules, coordinating meetings, handling communications, supporting special projects, and ensuring efficient office operations. This position is fully onsite in the Flat Iron District. Salary range: $140,000-$150,000
RESPONSIBILITIES:
- Manage CEO calendar, schedule meetings, and coordinate appointments with internal teams, vendors, and clients.
- Organize and prepare materials for executive meetings, including agendas, presentations, reports, and minutes.
- Handle on behalf of the CEO all correspondence and communication on behalf of the executive team, including emails, phone calls, and written communication.
- Compose drafts of routine business correspondence including letters and emails.
- Maintain files and contact databases.
- Review and approve travel expense reports.
- Reconcile company credit cards charges for CEO and management.
- Coordinate travel arrangements, accommodations, and itineraries for executives and visiting stakeholders.
- Assist with tracking key project deadlines and deliverables, providing follow-ups as needed.
- Perform special projects as assigned.
- Liaise with vendors, subcontractors, and internal departments to facilitate executive initiatives.
- Provide support for Board activities.
- Maintain and organize confidential files and corporate records.
- Perform office management tasks such as ordering supplies, coordinating office maintenance, and managing service providers.
- Coordinate internal and external company events.
SKILLS REQUIRED:
- Bachelor's degree preferred or equivalent work experience.
- Minimum 5 years of experience supporting executives in a fast-paced environment
- Proficient in Microsoft OfficeSuite (Word, Excel,PowerPoint, Outlook).
- Ability to handle sensitive and confidential information with discretion.
- Exceptional attention to detail and problem-solving abilities.
- Ability to interact with all levels of personnel.
- Proactive individual and ability to drive coordination of meetings
- Must be flexible, responsive and resourceful.
