Position Overview
The firm is seeking an Executive Assistant (Floater) to provide flexible, high-level support across teams, primarily within the Technology group. This individual will step in during periods of absence, including vacations, leave, or training, ensuring seamless administrative coverage. The role is ideal for someone who thrives in a support capacity, enjoys variety in their day-to-day responsibilities, and is looking to grow within an administrative career path.
Key Responsibilities
- Provide administrative coverage and support across multiple teams as needed
- Manage and coordinate complex calendars, including scheduling across multiple time zones
- Arrange domestic and international travel, including flights, accommodations, and transportation
- Prepare and organize materials for meetings and presentations
- Track expenses and assist with expense reporting processes
- Serve as a point of contact for scheduling and logistical coordination
- Support daily administrative operations to ensure efficiency and continuity
- Quickly adapt to new teams and workflows while maintaining high-quality support
Qualifications
- Bachelor’s degree preferred
- 1–3 years of administrative or executive assistant experience in a professional environment (financial services or banking experience preferred)
- Strong proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint
- Excellent organizational, time management, and multitasking abilities
- Strong written and verbal communication skills
- High attention to detail with a proactive, “no task is too small” mindset
- Ability to handle sensitive and confidential information with discretion
