Job Summary:
WMC is seeking an Event Coordinator to support the planning, coordination, and execution of assigned events and programs. This role serves as the primary point of contact for event logistics, registration management, attendee administration, speaker coordination, and onsite event execution.
Essential Job Functions:
· Coordinate event timelines, administrative activities, logistical details, and day-of operations to ensure successful execution of assigned events.
· Serve as the primary point of contact with venues, caterers, vendors, event partners, speakers, and internal stakeholders for multiple events a year.
· Lead onsite event execution and assist with real-time problem-solving.
· Coordinate speaker logistics, schedules, travel arrangements, and presentation needs.
· Work with the Sponsorship Coordinator to communicate sponsor participation details and ensure promised benefits are fulfilled.
· Create and maintain event registration links.
· Maintain accurate registration and attendance records by monitoring registrations, identifying and resolving invalid or duplicate entries, and tracking no-shows.
· Review post-event attendance and update future invitation lists as needed.
· Monitor and respond to inquiries received through the Events mailbox, providing exceptional customer service and timely support.
· Prepare attendee folders, physical event materials, name badges, and name tents.
· Support on-site event setup, registration, attendee check-in, and onsite operations.
· Ensure internal stakeholders receive timely and accurate event updates.
· Ensure event files, documentation, and planning materials are accurate and organized.
· Identify opportunities to improve attendee experience and event execution.
· Other duties as assigned.
Job Requirements:
· 2–4 years of event coordination, customer service, or related experience.
· Strong organizational and project management skills.
· Excellent attention to detail and accuracy.
· Ability to manage multiple priorities and deadlines.
· Strong written and verbal communication skills.
· Proficiency with Microsoft Office Suite, particularly Outlook, Excel, and Word.
· Ability to learn and utilize event registration and CRM/database systems.
· Limited travel is required.
