GENERAL DESCRIPTION:
Aides in general office duties of the transportation office by performing the following duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Handles incoming and outgoing correspondence for the transportation department including confidential matters as necessary.
- Performs multiple duties including, but not limited to phone duties, radio duties, filing, and pulling tapes.
- Organize field trips.
- Experience in Versatrans a plus.
- Entering bus referrals into Public SchoolWorks.
- Maintain office equipment such as copy machines, fax machines and printers.
- Radio dispatching.
- Look up student information for buildings and parents.
- Print off routes, write bus numbers on sheets and put them in drivers mailboxes, AM & PM.
- Pulling and viewing bus video footage.
- Collect sick, personal and vacation forms and enter on the day log. Input in Kronos.
- Complete Kronos to ensure employee time is accurately recorded for payroll.
- Maintain and track daily $10 incentives for drivers and aides for payroll.
- Create exception sheets for the drivers, staff, aides to complete every pay period.
- Send information out through Parent Square for late buses for all schools.
- Create and maintain bus rosters for schools.
- Create fuel and pre-trip cards on a monthly basis and track fuel totals.
- Complete drivers CDL reimbursement forms and send to Central Office.
- Assisting with daily scheduling of buses, helping with field trips (making trip tickets, looking up directions, notifying drivers of pick up / drop spots).
QUALIFICATIONS:
- Strong interpersonal skills is a must.
- Excellent communication skills both oral and written essential.
- Availability 12 months a year with excellent attendance required.
- Ability to maintain confidential highly sensitive information.
- Strong command of Access, Excel and District information systems required.
- Must be highly organized and a self-starter.
- Strong computation and analytical skills required.
- Excellent customer service.
LANGUAGE SKILLS:
Ability to communicate effectively with students, parents, colleagues and administration. Ability to read and interpret documents such as reference manuals, Board policies and procedures manuals. Ability to read and comprehend instructions, correspondence, and memos. Ability to write correspondence. Ability to respond to common inquiries or complaints from students, parents, agencies, teachers or members of the school community. Ability to effectively present information to administration, staff and the public.
EDUCATION and/or EXPERIENCE:
Experience using the district selected computer software is required.
OTHER SKILLS AND ABILITIES:
Ability to establish and maintain effective working relationships with students, peers, parents and community. Ability to speak clearly and concisely in written or oral communication. Ability to use computers where applicable. Ability to perform duties with awareness of all district requirements and Board of Education policies.
