What are the responsibilities and job description for the Payroll Specialist position at Winston Staffing?
Payroll Specialist (ADP Enterprise)
Location: Old Westbury, NY (100% On-Site)
Position Type: Full-Time, Direct Hire
Industry: Non-Profit
The Opportunity
Winston Staffing has been exclusively retained by a highly respected, long-standing Long Island Non-Profit organization to identify a dedicated, detail-oriented Payroll Specialist.
Operating out of a beautiful, professional office environment in Old Westbury, NY, this role is designed for a payroll professional who wants to take full ownership of a focused, multi-state payroll ecosystem. In this position, you will serve as the critical bridge ensuring employee data flows seamlessly between modern HR technology and core payroll architecture, working within a stable and deeply supportive team culture.
Core Performance Responsibilities
Rather than just pushing buttons, the successful candidate will master the following operational outcomes:
- Precision Processing: Independently manage, audit, and execute the weekly and semi-monthly payroll cycles for 70 employees spread across multiple states.
- System Synergy: Maintain absolute data integrity by partnering with Human Resources to manage and audit the seamless flow of employee records between your front-end HRIS (UKG Ready) and back-end payroll engine (ADP Enterprise EV5 > EV6).
- Compliance Safeguarding: Own the end-to-end administration of wage assignments, strict multi-state tax compliance, and complex garnishments.
- Reporting & Year-End Delivery: Act as the primary driver for year-end processes—including seamless W-2 preparation, internal tax audits, and generating actionable payroll data analytics for the leadership and finance teams.
- Continuous Improvement: Support upcoming system enhancements, testing protocols, and process optimizations as the organization continues to modernize its corporate infrastructure.
The Right Technical Profile
- Platform Expertise: Direct, hands-on experience running payroll inside ADP Enterprise (EV5 or EV6) is highly prioritized. Exposure to or working knowledge of UKG Ready (or Kronos) is a significant advantage.
- Sourcing Scale: 2 years of dedicated payroll processing experience. Prior experience navigating the lean, compliance-heavy environment of a non-profit, foundation organization is a major plus.
- Data Command: High proficiency with Microsoft Excel (building pivot tables, utilizing VLOOKUPs/XLOOKUPs for data reconciliation).
- Education: A Bachelor's degree in Accounting, Finance, Business Administration, or a related field is preferred, though equivalent, proven hands-on experience is fully welcomed.
Key Competencies for Success
An Analytical, Service-Oriented Mindset: You possess an exceptional attention to detail. You don't just process data; you audit timecards actively, spot variances before they become problems, and handle confidential employee inquiries with extreme discretion, clarity, and empathy.
Why Join the Team?
- True Professional Stability: A permanent, direct-hire role with a secure, established organization that deeply values longevity, consistency, and a strong work-life balance.
- Modernizing Tech Environment: Gain valuable experience with major system modernizations as the team transitions from ADP EV5 to EV6 alongside modern HRIS tools.
- Excellent Compensation Package: Offers a highly competitive base salary tailored to experience, paired with a robust benefits infrastructure.
