Winstanley Enterprises LLC (WELLC) seeks an experienced Property Management Administrator to join our New Haven CT team. WELLC manages the day-to-day operations of our company-owned, New Haven - centric based portfolio of 13 commercial properties covering circa 3M sf. Responsibilities:
- Report to and assists New Haven portfolio Senior Property Manager.
- Support SVP Property Management in portfolio-based projects and analytical work.
- Review and help prepare monthly financial reports for Property Managers.
- Track monthly tenant utility usage using energy monitoring software platforms and export reports into Microsoft Excel.
- Process accounts payable invoices in automated paperless invoice system.
- Resolve vendor payment inquiries and prepare vendor correspondence.
- Update GL entries and expenses into internal reforecast.
- Create and track tenant bill backs for construction work and tenant services, as well as communicate AR entries to corporate accounting team.
- Organize bids and proposals for service contracts and one-time projects.
- Compile service contracts using approved contract forms and vetted proposals.
- Track service contract compliance and expiration dates in Microsoft Teams and Prism.
- Assist in coordinating and preparing annual property budgets.
- Support Property Managers with lease compliance documentation and tracking.
- Prepare tenant correspondence and building notifications.
- Help organize tenant appreciation events.
- Help schedule group meetings and appointments using Microsoft Outlook, Zoom or MS Teams.
- Organize and file construction documentation from Procore into shared folders.
- Coordinate property-related projects with other administrative personnel.
- Work with Property Manager(s) on optimizing Building Engines Software and run monthly reports to track work order completion.
- Be the go-to person for all administrative support for the Property Management team in New Haven.
Qualifications:
- Bachelor’s degree in business or a related field is preferred. Degree in Accounting preferred.
- 1 - 3 years related real estate experience, high-rise office experience preferred.
- Financial background with strong understanding of financial statements and budgeting.
- Self-starter with the ability to hit the ground running.
- Team player who and has the ability to be flexible, work independently and to .
- Ability to write effective correspondence and to speak professionally and effectively with tenants, owners, and contractors.
- Strong Excel Skills, Microsoft Word and Outlook required.
- Experience with Yardi and Building Engines/Prism a plus.

Pay: $60,000.00 - $90,000.00 per year
