Windermere Professional Partners, the leading real estate brokerage in Pierce County, is seeking a part-time Office Assistant to join our team in Tacoma/University Place, working 16 hours per week (Monday - Thursday). Position is temporary through the summer, with potential to extend based on business needs.

POSITION OVERVIEW
As our part time Office Assistant, you’ll assist in managing the daily administrative operations of the office, serve as a welcoming face for our brokers (who are our clients) and visitors, and provide essential operational support to brokers and management. This position requires high attention to detail and a commitment to providing top-notch customer service.
You’ll be responsible to assist with answering phones, processing outgoing mail, maintaining office operations, performing administrative projects, and ensuring a professional, efficient environment.
KEY RESPONSIBILITIES
Office Operations & Broker Support
- Serve as support to other staff members in maintaining day-to-day office operations
- Assist with maintaining a professional, organized, and welcoming office environment, including light wiping down/straightening up of common areas, making pots of coffee
- Assist with the onboarding of new brokers (as needed), including office orientation, system access setup, and ordering business cards and signs
- Office supply monitoring and ordering as needed
- Assist with maintenance of filing and organizational systems (electronic and paper) in compliance with company policies
- Assist with processing outgoing mailers, including folding/stuffing/addressing envelopes, processing postage with postage meter
- Assist with messaging brokers to check for weekly transaction status updates (as needed)
- Assist with preparation of marketing materials for brokers from approved templates, including listing flyers and other promotional pieces
Front Desk & Customer Service
- Greet clients and visitors and provide exceptional customer service
- Assist with answering and directing phone calls; managing incoming/outgoing mail, email, scans, and faxes
- Respond to questions and troubleshoot issues for brokers, managers and visitors
- Represent the company and our brand with professionalism
Technical & Operational Support
- Provide basic troubleshooting for office equipment, phone systems, and computers, raising complex problems to management or IT vendors as needed
- Assist with special projects and additional duties as assigned
QUALIFICATIONS
- High school diploma or GED required; Associate’s degree preferred
- Office or administrative experience preferred but not required
- Strong computer proficiency, including Microsoft Office (Word, Excel, Outlook, Publisher), internet applications, and Adobe Acrobat
- Strong customer service skills and professional presence
- Excellent problem-solving and troubleshooting abilities
- Highly detail-oriented with strong organizational skills
- Ability to manage multiple priorities in a fast-paced environment
- Self-motivated with strong initiative and follow-through
- Excellent written and verbal communication skills
- Professional and courteous interaction with clients and business partners
PHYSICAL REQUIREMENTS
- Ability to work in a low-noise office environment (primarily seated)
- Manual dexterity for frequent computer and phone use
- Ability to lift up to 20 lbs
COMPENSATION & BENEFITS
- $18.00–$19.00/hour starting wage (DOE), with opportunity for growth
- Part-time schedule: Monday–Thursday, 9 AM-1 PM through end of summer, with potential to continue based on business needs
