Position Overview
The Purchasing Agent is responsible for managing day-to-day purchasing activities to support uninterrupted production processes. This role ensures materials and components are procured on time, at the right cost, and to required quality standards. The Purchasing Agent works closely with production planning and the inventory team to align purchasing activity with build schedules and manufacturing demand.
Key Responsibilities
Purchasing & Order Management
- Create, manage, and track purchase orders for materials and components
- Ensure materials are ordered in alignment with production schedules and build requirements
- Monitor open purchase orders and follow up with suppliers on delivery dates and shortages
- Resolve quantity and delivery discrepancies and manage material returns
Supplier Coordination & Performance
- Maintain strong working relationships with suppliers and vendors
- Track supplier lead times, on-time delivery, and quality performance
- Escalate supplier issues that may impact production schedules
- Support sourcing of alternate suppliers or materials when needed
Inventory & Demand Support
- Collaborate with inventory and production planning teams to maintain appropriate stock levels
- Help prevent stockouts and excess inventory through proactive purchasing decisions
- Assist with material substitutions when required
Cost Control & Documentation
- Verify pricing accuracy and adherence to contracts or agreements
- Maintain purchasing records, documentation, and audit readiness
Skills & Knowledge
- Strong understanding of purchasing processes and inventory fundamentals
- Familiarity with construction or modular manufacturing materials preferred
- Proficiency with ERP, purchasing, or inventory management systems (e.g., inFlow, MRP, ERP tools)
- Strong organizational and problem-solving skills
- Ability to manage multiple priorities in a fast-paced environment
Communication & Accountability
- Clear and professional communication with suppliers and internal teams
- Strong follow-up and attention to detail
- Ability to escalate risks early and propose solutions
Key Performance Indicators (KPIs)
- On-time material delivery rate
- Production delays caused by material shortages
- Inventory turns and stockout frequency
- Supplier performance metrics
Essential Job Functions – Physical & Work Environment Requirements
- Ability to sit for extended periods of time while working on a computer (up to 8–10 hours per day).
- Ability to use hands and fingers to operate a computer keyboard, mouse, and standard office equipment.
- Ability to communicate effectively via phone, email, and in-person conversations with vendors and internal teams.
- Ability to occasionally stand and walk throughout office and production areas.
- Ability to occasionally lift and carry office materials or small packages up to 15–25 pounds.
- Ability to visually review purchase orders, spreadsheets, inventory data, and system reports with attention to detail.
- Ability to occasionally bend, reach, or stoop to access files or materials.
- Ability to work in both office and light industrial/manufacturing environments as needed.
- Ability to maintain focus and manage multiple priorities in a fast-paced work environment.
- Ability to attend meetings in person or virtually as required.

Reports To: Senior Manager of Production Planning & Supply Chain
Work Schedule: Monday-Thursday, 10 hour shifts, 7:00 am - 5:30 pm
Location: Onsite - Cleveland, TN
Pay: $18.00 - $21.00 per hour
