Wilson College is seeking a collaborative, organized, and solutions-oriented Applications Coordinator to help maximize the value of the technology that powers our institution. In this role, you'll partner with faculty, staff, vendors, and campus leaders to coordinate the lifecycle of enterprise applications, support technology initiatives, and ensure our systems remain secure, accessible, and aligned with the needs of our community. You'll also coordinate information technology budgets, purchasing, contracts, and vendor relationships while serving as a primary liaison between Information Technology, consultants, vendors, and campus departments. ESSENTIAL FUNCTIONS

Applications Coordination

  • Coordinate the lifecycle of third-party applications, including selection, implementation, maintenance, and retirement.
  • Ensure applications are aligned with institutional goals and user needs.
  • Collaborate with end users and departmental stakeholders to identify opportunities for expanded and more effective use of applications; promote best practices and recommend process improvements that enhance productivity and user experience.
  • Monitor application performance, usage, and user satisfaction; recommend enhancements as appropriate.
  • Coordinate application upgrades, patches, and integrations to maintain security, reliability, and functionality.
  • Coordinate the evaluation of new applications, including vendor demonstrations and internal decision-making meetings.
  • Partner with campus stakeholders to evaluate existing applications for renewal, retirement, replacement, or expanded use.
  • Develop, coordinate, and deliver training resources and instruction to support effective adoption and use of technology systems.
  • Maintain an inventory of College software applications.

Vendor Management

  • Serve as the primary point of contact for third-party application vendors.
  • Solicit bids, evaluate proposals, and negotiate pricing for software and technology services.
  • Coordinate contracts for technology applications, software, and IT-related services.
  • Manage vendor data security and compliance requirements, ensuring completion of data security agreements and review of HECVATs, VPATs, and other required security and accessibility documentation prior to implementation and throughout the vendor relationship.
  • Maintain positive vendor relationships and help ensure service level agreements are met.

Budget and Contract Management

  • Assist with the preparation, monitoring, and reconciliation of annual and multi-year Information Technology budgets.
  • Assist with overall IT budget planning and forecasting.
  • Develop and monitor project-based budgets.
  • Process purchasing requests, invoices, credit card reconciliations, and payment approvals.
  • Track expenditures using the College's budget management system.

Project Management

  • Coordinate projects involving the implementation of new applications and upgrades to existing systems.
  • Collaborate with IT staff, functional users, vendors, and implementation committees to ensure successful project delivery.
  • Assign project tasks, monitor progress, and help ensure deadlines and project objectives are achieved.
  • Document project timelines, milestones, issues, and outcomes.

Accessibility

  • Collaborate with administrative stakeholders to help ensure applications meet applicable accessibility standards and coordinate training as needed.

Other Duties

  • Serve on College committees, task forces, or project teams as assigned.
  • Participate in professional development activities to remain current on emerging technologies, accessibility standards, cybersecurity practices, and higher education technology trends.
  • Perform other duties as assigned.

POSITION TYPE AND EXPECTED HOURS OF WORK

  • This is a full-time, exempt position, typically working Monday through Friday, 8:30 a.m. to 5:00 p.m. Eastern Time.
  • This position is designated as remote-eligible. Remote work arrangements are subject to Wilson College's Remote Work Policy, supervisory approval, and the operational needs of the College.
  • Occasional evening and weekend hours may be required to support system implementations, upgrades, maintenance windows, or other critical technology initiatives.
  • Occasional travel to Wilson College's Chambersburg and King of Prussia campuses, as well as attendance at conferences, training programs, and professional development events, may be required.

EDUCATION & EXPERIENCE

Required:

  • Bachelor's degree in Information Technology, Computer Information Systems, Business Administration, or a related field. Equivalent combinations of education, training, and relevant experience will be considered.
  • Demonstrated experience coordinating projects, managing technology-related initiatives, or administering enterprise software applications.
  • Experience working with software vendors, contracts, purchasing, or budgeting.
  • Strong proficiency with Microsoft Office Suite and the ability to learn and support new technologies.

Preferred:

  • Experience supporting enterprise applications in a higher education environment.
  • Experience with project management methodologies and coordinating cross-functional technology initiatives.
  • Experience with technology procurement, software licensing, vendor management, and contract administration.
