Job Summary:
The Executive Assistant role is pivotal to the success of Wilmington Dispensary’s leadership operations. Reporting directly to the President, this full-time position provides comprehensive administrative support to the executive team, ensuring seamless day-to-day operations, effective communication, and strategic project coordination while maintaining compliance with policies and confidentiality guidelines.
Wilmington Dispensary currently maintains its flagship location in downtown Wilmington in the Castle St. Arts District, has a second store on Market St. in the Ogden area, and is planning additional locations in the local area. The Executive Assistant will support operations across all locations as needed.
Key Responsibilities:
Administrative and Calendar Management
· Coordinate executive calendars, including scheduling meetings, appointments, and action items while navigating industry events and compliance deadlines.
· Serve as the primary point of contact for internal and external communications, including vendors, regulators, and partners.
· Handle office logistics and maintain organized digital and physical files compliant with cannabis industry standards (e.g., Track-and-Trace systems).
· Complete administrative tasks and ensure compliance with company policies and procedures.
· Ensure all confidential information is handled securely and in line with health and safety guidelines.
Project Coordination and Support
· Assist with special projects like product launches, licensing renewals, and marketing campaigns.
· Manage sensitive information related to business operations, financials, and regulatory filings; stay abreast of state/federal cannabis laws and assist in preparing documentation for audits.
· Provide general support to the leadership team, including research on market trends and basic bookkeeping as needed.
Team and Executive Leadership Support
· Foster a collaborative and positive environment by anticipating needs and streamlining workflows for the executive team.
· Coach and support team members on administrative best practices to ensure operational efficiency.
· Schedule support staff accordingly to ensure adequate coverage and fill in when necessary.
· Conduct administrative performance checks to assess training needs.
· Communicate regularly with upper management regarding problems or issues impacting the team.
Business Operations and Strategy Support
· Plan and oversee administrative aspects of promotional events or displays.
· Assist in preparing and monitoring budgets for administrative expenditures with a focus on efficiency.
· Support the development of business strategies to optimize executive productivity.
· Report on administrative trends, resource needs, and efficiency metrics.
· Propose innovative ideas to streamline executive workflows and support growth.
Qualifications and Skills:
· Proven experience in an executive assistant or administrative role, preferably but not necessarily in a regulated industry like cannabis, pharmaceuticals, or agriculture.
· Strong organizational skills with the ability to prioritize, multitask, and manage time effectively.
· Detail-oriented with strong file management and communication skills.
· Proficiency with Google Workspace and Microsoft Office Suite required; Experience with project management tools (e.g., Asana, Trello) and CRM software (e.g., HubSpot) preferred; Experience with inventory tracking systems like Craftybase or Katana is a plus.
· Ability to work a flexible schedule, including evenings and weekends as needed.
· Knowledge of cannabis products and the industry is a plus; must be 21 years old and able to pass a background check.
