Wills Eye Hospital is seeking an HR Administrative Coordinator to support the daily operations of our Human Resources department. This role is responsible for a range of HR functions, including recruitment coordination, onboarding, compliance tracking, and administrative support for HR leadership. Primary Function:
The HR Administrative Coordinator provides comprehensive administrative and operational support to the Essential Duties and Responsibilities at Wills Eye Hospital. This position supports the HR Operations Manager and HR leadership team in key areas including recruitment, onboarding, compliance, benefits administration, and employee relations.

Essential Duties and Responsibilities:
- Serves as the first point of contact for HR inquiries, providing courteous and professional assistance to employees and managers.
- Coordinates pre-employment processes such as background checks, health screenings, and credential verifications; communicate updates to HR staff and hiring managers.
- Maintains accurate and confidential employee personnel files and HRIS data (Paychex Flex), ensuring compliance with hospital policies and regulatory requirements.
- Tracks employee compliance with licensure, certifications, and mandatory training; follow up with departments as needed to ensure timely completion.
- Generates HR reports and summaries to support staffing, payroll, and compliance initiatives.
- Provides administrative support to HR leadership, including calendar management, meeting coordination, and document preparation.
- Supports the processing of HR documents, i.e., interview materials, and update training records.
- Processes HR-related invoices and requisitions, and coordinate with Finance to ensure timely payment.
- Assists with maintaining continuous readiness for audits and accreditation surveys by ensuring HR documentation is accurate and complete.
- Contributes to employee engagement activities, HR communications, and special departmental projects.
Education:
- Bachelor’s degree in Human Resources, Business Administration, or a related field required.
Certification:
- SHRM-CP certification preferred.
Experience:
- Minimum of 2–4 years of HR or administrative experience, preferably in a healthcare or hospital environment.
- Strong proficiency in Microsoft Office Suite and HRIS systems (Paychex Flex experience a plus).
- Excellent organizational, interpersonal, and communication skills.
- Proven ability to manage confidential information with discretion.
- Dependable, detail-oriented, and capable of working independently as well as collaboratively.
